Assistant Project Manager

Primary Function:

The Assistant Project Manager (APM) plays a key role in supporting the Project Manager and Senior Project Manager in the successful delivery of solar EPC projects from permitting through project close-out. This position manages day-to-day project coordination, documentation, and schedule support, ensuring timely and accurate information flow across engineering, construction, supply chain, permitting, and external stakeholders.

The APM role serves as a development pathway toward full Project Manager responsibility. Success in this position is defined by consistent reliability, attention to detail, proactive risk identification and mitigation, and strong verbal and written communication skills. The ideal candidate demonstrates the ability to anticipate challenges before they impact the project, collaborates effectively across teams, and gradually assumes increased ownership of project scopes and deliverables over time.

Reporting Relationship: Sr. Project Manager

Pay Grade Range: $80,000 to $105,000 Annual salary plus bonus opportunity (depending on experience).

Essential Job Functions:

Project Coordination & Execution Support

  • Support PMs in managing project schedules, deliverables, and milestones across engineering, procurement, construction, and close-out phases
  • Track action items, deadlines, and commitments from internal teams, subcontractors, and consultants
  • Assist with project kickoff preparation, meeting agendas, and follow-up documentation
  • Maintain accurate project status information and escalate risks or gaps early


Schedule & Risk Support

  • Assist in maintaining project schedules in Smartsheet and other scheduling tools
  • Track critical path items, float-sensitive activities, and long-lead materials
  • Help identify schedule risks, permitting constraints, and sequencing conflicts
  • Support documentation of risks, mitigation plans, and decision logs


Documentation & Systems Management

  • Manage and maintain project documentation in ProCore, Egnyte, and other GenPro systems
  • Assist with submittals, RFIs, permit tracking, inspection records, and close-out packages
  • Ensure meeting notes, decisions, and approvals are documented and distributed clearly
  • Support lien waivers, warranties, and turnover documentation during project close-out


Financial & Cost Tracking Support

  • Assist PMs with budget tracking, change order documentation, and cost forecasting
  • Track subcontractor invoices, pay applications, and backup documentation
  • Help prepare schedule of values, cost logs, and project financial summaries
  • Coordinate with Finance to ensure accurate and timely project reporting


Cross-Functional Coordination

  • Coordinate closely with Construction, Engineering, Supply Chain, Permitting, and Finance teams
  • Communicate clearly with developers, AHJs, inspectors, and external consultants as directed
  • Ensure information shared externally aligns with GenPro's approved plans and messaging
  • Support site visits and field coordination as needed


Education:
  • Bachelor's degree in construction management, engineering, project management, or related field, or equivalent experience.

  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office; experience with ProCore, Smartsheet, or similar tools preferred

Preferred Qualifications:

  • Experience supporting solar, renewable energy, or EPC projects
  • Familiarity with permitting, inspections, and AHJ processes
  • Basic understanding of construction schedules, critical path, and cost tracking
  • Willingness to travel to project sites as needed
