The OpportunityThe Assistant Managing Clerk is responsible for processing and calendaring all court, agency and other deadlines in accordance with firm guidelines. The Assistant Managing Clerk will report and work closely with the Managing Clerk in handling complex requests and may assign work to junior members of the docketing team.
The Day-To-DayOn any given day, you will:
- Monitor court filings and maintain accurate docketing and calendaring records.
- File documents electronically in agency state and federal courts
- Coordinate hard-copy filings when required.
- Calculate and track litigation deadlines using applicable court rules and statutes.
- Review court notifications, update case information, and maintain records in CourtAlert.
- Serve as a liaison between attorneys, staff, court personnel, and outside vendors.
- Assist attorneys with procedural questions, court requirements, and filing strategies.
- Coordinate service of process and manage court-related logistics.
- Conduct legal and procedural research related to court rules, case status, and court orders.
- Collaborate with the Director and Managing Attorney, Docket and other regional managers on quarterly team seminars.
- Assist in the investigation of docket issues and respond to procedural inquiries from attorneys
- Generate deadline reports at attorney request
- Assist with special projects as assigned by the Managing Clerk or the Director and Managing Attorney, Docket.
- Work closely with Managing Clerk in the mentorship and training of team members while performing quality assurance and quality checks on work completed.
- Assist with department projects as needed.
- Train and mentor new hires.
- Assign and manage workflow of junior team members.
- Time and performance management of junior team members.
- Assist with docket orientations for new attorney and staff hires.
- Ensure data quality and data assurance initiatives are being followed.
- Assist with monitoring, addressing and documenting concerns regarding quality and quantity of work performed by department personnel.
- Manage the firm wide e-Filing Team.
- Assist with managing department coverage when team members are out.
You Have- Bachelor's Degree or Equivalent Experience
- Minimum 5 years experience working in a Managing Clerk and/or Litigation Docketing Department.
- Ability to manage competing priorities while maintaining a high level of accuracy and attention to detail.
- Substantial knowledge of litigation processes, court rules, procedures and court filings including electronic filings.
- Ability to research, analyze and summarize issues in writing; critical thinking skills to support analysis and summary of findings with a strong commitment to quality of work.
- A service-oriented mindset and ability to collaborate with attorneys, staff and other key members of the firm.
- Demonstrate effective interpersonal skills and the ability to establish effective working relationships with colleagues.
- Ability to work well independently, as well as within a team environment.
- Excellent analytical, troubleshooting, organizational, and planning skills; strong attention to detail
- Proficient skills/knowledge of MS Word, Outlook and Excel
- Proficiency with PACER, NYSCEF, CM/ECF
- Experience with Compulaw or similar docketing software
Location Specific LanguageThe salary range for this role is $105,000-$122,000 annually, which is based on a 40 hour work week]. This range is only applicable for jobs to be performed in New York. This is the lowest to highest salary we in good faith believe we would pay for this role at the time of this posting. An employee's pay within the salary range will be based on numerous factors including, but not limited to, relevant education, qualifications, experience, skills, and business or organizational needs. This job is also eligible for an annual merit increase and bonus pay.
