Position Summary:

The Admissions Coordinator supports the daily admissions, recruitment, and enrollment operations of the Yeshiva University College of Dental Medicine. This position coordinates the administrative functions of the admissions process from initial applicant inquiry through student matriculation, ensuring an organized, efficient, and student-centered admissions experience. Reporting to the Director of Admissions, the Admissions Coordinator manages applicant communications, application processing, interview coordination, admissions reporting, committee preparation, recruitment events, matriculation tracking, and onboarding activities. The coordinator collaborates with faculty interviewers and university departments to ensure applicant records are complete and accurate, interview days are executed efficiently, and enrollment requirements are fulfilled in accordance with university policies and established deadlines.

The successful candidate is a highly organized and service-oriented professional with exceptional communication, project coordination, and customer service skills. This position requires sound judgment, attention to detail, discretion in handling confidential information, and the ability to manage multiple priorities in a fast-paced academic environment.

Position Responsibilities:

Operational Management of Admissions:

  • Support the Director of Admissions in the daily operations of the Admissions Office by coordinating applicant communications, application processing, admissions correspondence, interview scheduling, committee preparation, and matriculation activities from initial inquiry through enrollment.

Recruitment and Outreach Support:

  • Coordinate and participate in recruitment activities, including information sessions, open houses, campus tours, accepted student events, college fairs, and outreach initiatives. Serve as a primary point of contact for prospective and admitted students throughout the admissions process.

Application Processing and Interview Coordination:

  • Monitor applicant files for completeness, prepare application materials for faculty interviewers and Admissions Committee review, coordinate applicant interview schedules and logistics, and support a fair, organized, and efficient admissions review process.

Data Tracking and Reporting:

  • Maintain applicant tracking spreadsheets, admissions databases, and enrollment records. Prepare admissions reports, applicant statistics, enrollment data, and other operational reports to support admissions planning and decision-making.

Matriculation Coordination:

  • Communicate matriculation requirements to admitted students and monitor completion of required enrollment documentation, including criminal background checks, health and immunization records, final official transcripts, and other institutional enrollment requirements. Coordinate admissions-related onboarding activities and orientation logistics.

Collaboration with Academic and Administrative Teams:

  • Collaborate with faculty interviewers and university departments, including Student Affairs, Registrar, Financial Aid, Information Technology, Marketing, and other administrative offices to support admissions, recruitment, and enrollment activities.

Applicant Services:

  • Maintain a thorough knowledge of the DDS curriculum, admissions requirements, university policies, and student support services to effectively assist prospective students and families while providing exceptional customer service throughout the admissions process.

Compliance and Policy Adherence:

  • Maintain accurate applicant records and ensure admissions activities comply with university policies, FERPA, accreditation standards, and applicable regulatory requirements while safeguarding confidential applicant information.

Additional Responsibilities:

  • Participate in evening and weekend recruitment and admissions events as needed. Perform other duties and special projects as assigned by the Director of Admissions.


Experience & Educational Background:

  • Bachelor's degree required in Higher Education Administration, Business Administration, Communications, Education, or a related field preferred.
  • Minimum of five (5) to seven (7) years of progressively responsible experience in admissions, enrollment management, student services, higher education administration, or a related administrative environment, preferably within a professional or health sciences program.
  • Demonstrated experience coordinating admissions operations, applicant tracking, interview processes, recruitment events, and student matriculation activities.
  • Experience using admissions CRM platforms, applicant tracking systems, and student information systems such as Slate, Banner, WebAdMIT, ADEA AADSAS, or comparable systems preferred.
  • Demonstrated experience coordinating complex administrative processes involving multiple stakeholders and competing deadlines.
  • Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills with a strong customer service orientation.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive applicant and student information.
  • Experience working collaboratively with faculty, administrators, students, and external partners.
  • Availability to participate in evening and weekend recruitment and admissions events, as needed.
  • Knowledge of dental education admissions processes, ADEA AADSAS, or higher education recruitment practices preferred.
