Full Job Description
Administrative & Facility Coordinator

This position is a critical member of the team: setting the tone for our fun, engaging and dynamic work environment. A successful candidate will create an organized, positive, and engaging work environment, executing proactively and with high standards to meet the needs of the team. While the core function of this position is administrative and the secondary function is supporting supply chain needs, export management, and other vendor management and support. This position requires full-time in-person work at our Seattle office, reports to the BlackSky Administration Operations Manager and requires reliable transportation.

Responsibilities:
  • Run the daily office operations for our Seattle, WA location in a professional and service-focused manner
  • Ensure the office workspace and common areas are clean, safe, and organized.
  • Greet visitors with warm hospitality and complete the guest registration process.
  • Receive mail, package shipments, and deliveries and distribute mail to their respective recipients.
  • Answer the main office phone line.
  • Order and keep drinks, snacks, and office supplies well-stocked.
  • Coordinate with building management and vendors on facilities and maintenance issues.
  • Coordinate several internal operational systems including keycards for employees, parking, and all facilities.
  • Host candidates during in office interviews and customers or partners for tours, ensuring a great experience.
  • Planning and attend company local events for the holidays and quarterly events.
  • Run errands to support miscellaneous events and activities, using reliable transportation.
  • Ensure all white boards are cleared at the end of every shift.
  • Coordinate catering as required (ordering, set up, and take down).
  • Evaluate potential new vendors and office improvements to ensure a clean, safe, and organized office for employees.
  • Create and maintain office reference material inclusive of visitor processes and ensure adherence to guidelines.
  • Position requires the ability to stand, squat, reach, and lift up to 50lbs.
  • Serve as escalation point for building access and maintenance matters. This may include off hours, including evenings and weekends.
  • Handle confidential information with discretion.
  • Develop and implement administrative policies and procedures.
  • Manage internal and external communications in a timely manner.
  • Provide cover at the Tukwila office during peak periods, team absences or operational requirements (reliable transportation to this office is expected).
  • Other job-related duties as assigned.

Required Qualifications:
  • At least five years of relevant experience providing administrative office support.
  • Ability to work in a full-time, in-office work environment.
  • Previous exposure to event planning and management.
  • Proficient with Microsoft Office Suite: especially calendar management.
  • Ability to navigate new software tools useful in a technology-forward company (Examples: Slack, Confluence, Sharepoint).
  • Ability to prioritize and handle multiple assignments, comfortable with autonomy and as a self-starter.
  • Strong written and verbal communication skills.
  • Friendly and welcoming, someone who gains satisfaction from customer service and values culture and engagement.
  • Highly dependable, punctual, and responsible.
  • Reliable transportation to offices (Seattle and Tukwila) and to support outside-of-office tasks is critical.
  • Experience with basic facility management to include vendor management and security protocols.

Preferred Qualifications:
  • Associate or bachelor's degree.
  • Experience working in an access-controlled environment.

The anticipated salary range for candidates in Seattle, WA is $78,000-$84,000 per year. The final compensation package offered to a successful candidate will be dependent on specific background and education. BlackSky is a multi-state employer, and this pay scale may not reflect salary ranges in other states or locations outside of Seattle, WA.
