Full Job Description
Summary/Job Purpose:

Provide administrative support to ensure efficient operation of the Chicago office. This role will support members of the leadership team and involve a variety of tasks including managing travel arrangements, processing invoices, scheduling meetings, and taking notes during meetings.

Essential Functions:

  • Coordinate and book travel arrangements for executives and team members, including flights, accommodations, and transportation.
  • Process payment requests for invoices accurately and in a timely manner, ensuring adherence to company policies and procedures.
  • Manage calendars and schedule appointments, meetings, and conferences, optimizing time efficiency for all parties involved.
  • Participate in the self-audit process by setting up the audits and running reports for management.
  • Take comprehensive and accurate notes during meetings, ensuring key points and action items are captured and communicated effectively.
  • Prepare and distribute correspondence, memos, reports, and presentations as needed.
  • Assist with special projects and tasks as assigned, demonstrating flexibility and adaptability in a fast-paced environment.


Education and Experience Required:
Diploma/Degree & Experience
  • Bachelor's degree, preferred.
  • 5+ years administrative experience
  • Experience providing administrative support to executives within a corporate environment.
  • Must be professional, self-motivated, flexible, open to growth and challenges and a proven team player
  • Ability to multi-task in a fast-paced dynamic environment while demonstrating a resourceful, positive attitude and a superior work ethic
  • Excellent attention to detail and highly organized and able to successfully handle simultaneous priorities, with speed and accuracy
  • A strong sense of personal integrity; able to maintain confidentiality and handle highly sensitive information; demonstrate good judgment and decision-making

Salary Range: $75,000 - $100,000.00

Work Schedule: Must work physically in our Chicago office Monday - Friday.
