Full Job Description
What this job involves:

JLL is seeking an Administrative Assistant to join the Property Management Team for one of its more prominent buildings in downtown Toronto. The ideal candidate is customer-focused with excellent communication skills, thrives in a team environment, and excels at multitasking under pressure while maintaining flexibility and independence in a fast-paced setting.

This role is on-site 5 days/week.

What your day-to-day will look like:
  • Reception & Customer Service • Greet visitors, manage inquiries, and build positive tenant relationships while ensuring exceptional service across all communications.
  • Administrative Support • Provide comprehensive support to the General Manager and office staff, including managing boardroom and freight elevator bookings, maintaining tenant records and contractor lists, and coordinating with building operations.
  • Accounting & Financial Processing • Process invoices, set up purchase orders, reconcile supplier statements, and ensure timely submission of accounts payable and receivable batches to Head Office.
  • Service Request Management • Receive and dispatch tenant service requests through Prism, monitor completion, and follow up to ensure tenant satisfaction.
  • Office Operations • Order supplies, maintain office equipment, manage filing systems, prepare lease summary sheets, and support special projects and tenant events.
  • Communication & Coordination • Answer calls, distribute mail, schedule couriers, maintain meeting minutes, and update property information across lobby directories, portals, and building websites.
  • Compliance & Culture • Support JLL's environmental sustainability and corporate social responsibility initiatives.


Required Qualifications:
  • 1+ years of related work experience
  • Strong customer service experience
  • Previous experience in Property Management and/or Real Estate is preferred;
  • Excellent knowledge of Microsoft Office is required (Word, Excel, PowerPoint, Outlook);


Preferred Qualifications:
  • Experience in Accounting Software (i.e. Yardi) is preferred;
  • Property management or real estate experience


Estimated compensation for this position:

83,000.00 - 100,000.00 CAD per year

This range represents the estimated base salary and actual compensation may differ. Final base salary is determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations. Some roles and employees may be eligible for discretionary bonuses, benefits, or other compensation.
