Administrative Assistant, Content Risk

Reports to: Director, Content Security (LA) and Director, Content Risk & Intelligence (Toronto)

This position will be responsible for providing support to two global Directors on the Content Risk team and their team projects. This role will be based in Los Angeles.

A successful candidate will be passionate, self-motivated, proactive, quick-thinking, flexible, thorough and able to juggle multiple and diverse responsibilities with a strong emphasis on effective collaboration, organization and attention to detail at all times. This is a dynamic and fast-moving position that requires someone who is able to exercise excellent judgment and effective written and verbal communications.

Core Functions & Responsibilities
  • Calendar Management: Proactively manage and coordinate the complex and dynamic calendars for two Directors across multiple time zones, prioritizing meetings, resolving conflicts and sending key reminders.
  • Travel & Expense Coordination: Arrange complex international and domestic travel, including flights, accommodations, and ground transportation. Prepare and submit accurate and timely expense reports.
  • Discretion and Confidentiality: Handle sensitive company and personal information with discretion and confidentiality.
  • Comprehensive Meeting & Event Management: Lead the end-to-end logistical planning for major team events (offsites, town halls) and support CR leadership meetings. Responsibilities include managing all logistics (venues, itineraries, guest speakers), preparing and distributing materials (agendas, pre-reads), and taking notes.
  • Onboarding & Team Documentation: Assist with the onboarding of new hires by maintaining teamwide onboarding processes and documentation, including org charts and team bios.
  • Space Planning & Office Moves: Manage space planning and office moves for the team.
  • Collaboration: Proactively build and maintain a strong network by working closely with other executive assistants and admins, to ensure seamless collaboration. Collaborate with executive assistants and admins across teams on various aspects, including conferences and off-site meetings.

Qualifications
  • 4+ years experience as an administrative or executive assistant, providing support to a team (rather than just an individual). Experience in entertainment/tech/security and intelligence is a plus, but not required.
  • Team-player who operates in a team-oriented setting.
  • Ability to be discrete and maintain confidential information.
  • Proficiency in Google Suites (Gmail, Drive, Calendar, Docs, Sheets, Slides).
  • Self-starter with the ability to multi-task, prioritize and respond accordingly in a fast-paced environment.
  • Skilled written and verbal communicator who can build strong working relationships with vendors, and internal and external partners.
  • Willingness to continue learning to ensure understanding of current production process and needs.


Generally, our compensation structure consists solely of hourly pay; we do not have bonuses. You choose each year how much of your compensation you want in hourly pay versus stock options. To determine your personal top of market compensation, we rely on market indicators and consider your specific job family, background, skills, and experience to determine your compensation in the market range. The hourly range for this role is $38.46 - $71.39.
