Overview

The Work:

The Administrative Assistant provides comprehensive administrative and clerical support to ensure the efficient operation of the organization. This role is central to maintaining organizational effectiveness by managing schedules, communications, and document handling while delivering excellent service to both internal and external stakeholders.

Responsibilities

Key Responsibilities:

  • Proofread documents for accuracy, typographical errors and format IAW office guidelines
  • Prepare and format a variety of correspondence, including congressional letters, memoranda, surveys, talking points, reports, speeches, budget documents, and notices for publication to the Federal Register.
  • Provides technical and administrative support to the lab/lab personnel in addition to secretarial duties (filing, taking phone calls, scheduling appointments, making travel arrangements).
  • Type correspondence, reports, records, and technical papers. These may include tables, charts, graphs, and presentations as well as various Government forms such as requisition forms, travel authorizations, and travel expense vouchers.
  • Makes travel arrangements, coordinates meetings, meeting agenda, and scheduling of logistics required to support office staff and is able to perform Internet-based research.
  • Other duties as assigned.
Qualifications

Qualifications – Here’s What You Need:

  • High School Diploma or equivalent.
  • Minimum of two (2) years of direct work experience in an office environment OR at least an associate degree in a related field.
  • This position requires the submission of a DNA sample, which will be stored in the government-managed DNA Sample-Employee Database to ensure it is excluded from CODIS (Combined DNA Index System).
  • Experience exchanging non-routine information using tact and persuasion as appropriate, requiring good oral and written communication skills.
  • Experience exhibiting industry-accepted customer service practices and professional acumen in response to daily tasks, due dates, and requests for information.
  • Due to the nature of work performed at the client’s facility, U.S. Citizenship is required.
  • Must be able to pass a background check. May require additional background checks as required by projects and/or clients at any time during employment.

  • Exceptional interpersonal skills with the ability to communicate in a clear, professional, and articulate manner.
  • Exceptional verbal and written communication skills.
  • Excellent organizational, analytical, and problem-solving skills with high-level attention to detail.
  • Proven ability to multitask and prioritize in a fast past environment with changing priorities; adaptable to change and a quick learner.
  • Must be self-motivated and able to work well independently as well as on a multi-functional team.
  • Ability to handle sensitive and confidential information appropriately
  • Proficient in MS Office, Word, Outlook, PowerPoint, and Excel.
  • Microsoft Office (Access, Project, Vizio) experience is desirable.

Reports to: Operational Lead

 

Working Conditions:

  • Professional office environment.
  • Ability to work on-site in Beltsville, MD.
  • Normal business hours are Monday through Friday from 8:30 a.m. to 5:00 p.m.
  • Must be physically and mentally able to perform duties extended periods of time.
  • Ability to use a computer and other office productivity tools with sufficient speed to meet the demands of this position.
  • Must be able to establish a productive and professional workspace.
  • Must be able to sit for long periods of time looking at computer screen.
  • May be asked to work a flexible schedule which may include holidays.
  • May be asked to travel for business or professional development purposes.
  • May be asked to work hours outside of normal business hours.
