Full Job Description
Position Description:The Action Officer/Program Manager's primary role is enabling the CDAO AI Cybersecurity Office to make timely decisions by reviewing and confirming appropriate coordination of actions across the CDAO and with the interagency and within the organization. As an Action Officer you will facilitate communication at multiple echelons and between multiple organizations, ensure reporting and meeting minutes are in line with the CDAO AI Cybersecurity Office and ensure tasks and direction are communicated at the appropriate levels. You will also maintain familiarity with CDAO security procedures, and rules for on-boarding and off-boarding for CDAO. Finally, as the CDAO AI Cybersecurity Office's Executive Officer you are responsible for helping the Deputy Program Manager maintain the requirements of the Department of Defense through adherence to Federal Regulations.

Responsibilities and/or Success Factors:
  • Serve as the principal advisor and staff support to the AI Cybersecurity Office.
  • Provide in-depth advisory services concerning cyber assurance functions, team taskings and assignments, and memorandums of agreements.
  • Manage day-to-day program operations to ensure team activities, priorities, and deliverables remain aligned with Government objectives.
  • Track tasks, milestones, action items, risks, dependencies, and deliverables across RMF and cybersecurity workstreams.
  • Develop monthly status reports and quad charts.
  • Support onboarding and offboarding of team members, including coordination of access, orientation, knowledge transfer, and transition activities.
  • Facilitate meetings, status updates, and working sessions with Government and contractor personnel.
  • Develop and maintain program documentation, schedules, trackers, process guides, and recurring status materials.
  • Review out-going correspondence for content and format, and draft outgoing correspondence.
  • Accomplish priority actions, and fulfill planning, logistics, administrative, personnel, and other requirements.
  • Work with AI Cybersecurity Office's EA to maintain office files and the office filing system and track action items in the suspense portal.
  • Arrange for meetings, conferences, and video-teleconferencing, to include taking minutes and maintaining invitations attendee contact rosters.
  • Develop and update office standard operating procedures.
  • Strong client focus and commitment to continuous improvement, ability to proactively network and establish relationships.
  • Manage multiple priorities in a high-paced and fast-changing environment.
  • Perform other duties as assigned or required.
  • Extensive written and verbal communication experience at the executive level.
  • Extensive experience with Microsoft Office Tools. PowerPoint skills a must.

Minimum Qualifications Including Certificates:
  • Must have an active Secret clearance.
  • Bachelor's degree with at least 10 years of experience performing executive level planning, advisory, or staff support within the DoD.
  • Experience in Microsoft Office Suite (Outlook, Work, Excel, PowerPoint).
  • Have key attention to detail and professional communication.
  • Strong customer service skills.
  • Ability to work in a fast-paced environment.

Physical Requirements:
  • Work may involve sitting or standing for extended periods of time and typing and reading from a computer screen.
  • Must have enough mobility, including bending, reaching, and kneeling, to complete daily duties in a prompt and efficient manner and may include lifting thirty (30) pounds, as necessary.
