Role OverviewAs Workplace Manager, you own the day-to-day workplace experience at our second largest hub in New York-keeping operations running smoothly while driving initiatives that elevate the employee experience, optimize costs, and scale our workplace infrastructure as Harvey grows. This is a fully in-office role based in the Flatiron district in NY, with an expectation of on-site presence Monday through Friday, 9:00am-5:00pm to support the daily workplace experience.
What You'll DoWorkplace Operations- Own the end-to-end workplace and guest experience for the NY office, setting and maintaining standards for safety, functionality, and employee satisfaction
- Lead the planning and execution of an upcoming office relocation into a 180,000 sq ft Class A building, delivering a seamless transition and establishing white glove service standards befitting the new space
- Proactively identify operational improvements and lead implementation; maintain office systems, SOPs, and documentation to support a growing team
- Oversee and manage day-to-day Workplace operations in the office, including janitorial services, food & beverage, repairs/maintenance, interior plants/landscaping, security, shipping services, seating plans, office supplies, and maintaining FF&E.
- Maintain a relationship with the landlord and building management
- Manage contracted services necessary to maintain the facilities
- Manage space planning- keeping floorplans up to date and coordinating moves/adds/changes
- Develop and manage the office operating budget; track spend, identify savings, and make data-informed recommendations
- Own vendor relationships end-to-end: selection, contract negotiation, performance management, COIs, POs, payment, and renewals
- Manage and prioritize office requests through the Workplace ticketing system
- Ensure local programs and services align with global Workplace standards
Onboarding & Culture- Create a warm, inclusive office environment that reflects Harvey's values and culture
- Own the local workplace onboarding experience (office tours, swag, event planning) and partner with People Ops to continuously improve it based on new hire feedback
- Partner with the People team to bring culture initiatives to life in the NY office
- Coordinate logistics for team offsites, all-hands meetings, and visiting employees from other offices
- Partner with recruiting and executive teams on high-touch candidate and client visits
- Manage office-related communications and announcements
Cross-Functional Partnership- Build and lead a Workplace team as Harvey scales-hiring, developing, and managing staff to meet the growing demands of the NY office
- Lead or contribute to workplace-related projects (office moves, buildouts, policy rollouts)
- Partner with IT, Security, People Ops, and Finance on initiatives that span functions
What You Have- 5+ years of experience in Workplace/facility management, workplace operations, or a similar role, ideally at a fast-growing tech or startup company
- Proven experience managing a workplace for 300+ employees, with the operational rigor and people skills that scale demands
- Experience leading or playing a central role in a major office relocation or large-scale buildout, including managing Class A building relationships and delivering elevated, white glove service standards
- Genuine comfort operating in ambiguity-you make sound decisions without waiting for perfect information, and you course-correct quickly when things shift
- Scrappiness and resourcefulness-you know how to get things done with what you have, and you don't let a lack of infrastructure slow you down
- Experience managing or directly supervising a team, with a track record of developing others and fostering a collaborative, high-performing culture
- A genuine passion for creating great workplace experiences and making people feel welcome
- Ability to maintain composure and effectiveness in high-pressure situations
- Demonstrated foundational understanding of office systems (HVAC, plumbing, electrical, lighting) and can communicate effectively with trades to resolve issues
- Ability to assess, plan, and organize assigned work efficiently
- Experience with ticketing systems and project management tools used to track and manage tasks.
- A proactive, solutions-oriented mindset-you see what needs to be done and take initiative without being asked
- Strong organizational skills and the ability to juggle multiple (sometimes conflicting) priorities with attention to detail
- Excellent interpersonal and communication skills; you're someone people naturally trust and go to for help
- Experience managing vendor relationships
- Comfort working in a fast-paced environment where priorities can shift quickly
Compensation$137,100 - $205,700 USD
