Full Job Description
Reporting directory to the Business Manager, Surgical Program, the Wait Times Information System (WTIS) Coordinator, Surgical Services, is an integral part of the surgical services team to support the WTIS and support the operations of the program. Accountabilities: • Maintains and updates procedure mapping to the WTIS application • Generates and evaluates daily reports from the WTIS application, inputs and troubleshoots any discrepancies • Resolve failure interface messages sent to WTIS • Monitor data accuracy for submitted cases on a daily basis. • Resolve failure interface messages sent to WTIS • Monitor data accuracy for submitted cases on a daily basis and investigates any discrepancy noted on the WTIS system by the surgeons' offices; work with members of the OR team to ensure case records are closed • Conduct monthly analysis on WTIS opened cases with respect to wait times, DARTs and validation of patient status • Ensure timely input and management of wait list through the OR Information System • Facilitating the awareness of long waiters and prioritizing the booking of these cases • Validates accuracy of data going into the WTIS application, including contacting appropriate parties, as required to verify/ validate information, as required; support the maintenance of the HL7 interface • Support the maintenance of the wait times information system to ensure that it accurately reflects patients waiting • Support the monthly submission of data quality and compliance reports to OH-CCO via Access to Care (ATC) site. • Attendance at WTIS meetings • Prepare and disseminate WTIS information/data to surgical team • Other duties as assigned Surgeon Office Engagement and Education • Onboarding, training and education of surgeons' office admins and internal Osler staff responsible for bookings into the OR Information System including internal processes and data collection in regards to WTIS and Endo DSP. This will require travel to the surgeons' offices. • Perform data validation with the office admins in regards to items pertaining to data collection (eg. wait list, DARTs, referral dates) • Dissemination of information to surgeons' office as required Qualifications • Undergraduate degree in health informatics, computer science, business or health administration (with a combination of hospital's previous working experience and proven database and analytical technical skills) • Three to five years working in a surgical program environment including two to three years of experience working with a surgical information system and/or other supporting applications and two to three years of experience with data analysis and data integrity • Knowledge on OH-CCO wait times guidelines and experience with wait times information system application • Excellent interpersonal skills and ability to engage with a multitude of stakeholders • Excellent professional verbal and written communication skills • Strong Microsoft Office application skills • Must demonstrate Osler's Values and Respect, Excellence, Service, Compassion, Innovation and Collaboration Additional Information Hours: Currently Days, 8 hour shifts including weekends and statutory holidays (subject to change in accordance with operational requirements) Fully Onsite: Roles involved in direct patient care that are needed onsite for each shift.
