Overview:
The Vice President, Account Onboarding/Transitions will serve as Oaktree's Account Transitions Lead, accountable for the firm's Transitions Hub within Investment Operations. Transitions are defined as any account onboarding, offboarding (e.g., termination), and operational lifecycle event, including in-kind transfers and custodian account changes. Operating a hub-and-spoke model, this role centralizes coordination, streamlines execution, and formalizes operational controls across account transitions, beginning with a separately managed account (SMA) pilot followed by a phased rollout to additional product types. The role owns pipeline tracking and end-to-end project management, and will "lift and shift" specified operational readiness activities - including back-end system and third-party set-ups - into the Hub to build dedicated expertise and create capacity for functional teams to focus on business-as-usual activities.
Responsibilities include:
• Own the account transitions pipeline end to end - intake, tracking, and proactive distribution of pipeline status to internal stakeholders and operational leadership on a routine basis
• Partner closely with Client Relationship Managers on client touchpoints related to transitions
• Lead end-to-end internal communications and project management across Legal, Compliance, Fund Finance, Investment Operations, Data Management, Global Treasury, Tax, and Risk & Reporting
• Own final operational readiness validation and sign-off, serving as the control point that confirms all functional owner sign-offs are complete before the account is cleared to trade
• Perform select internal system and third-party set-ups including, Semarchy, Everest enrichment, FX Central, Bank Debt service providers, derivatives, and regulatory reporting configuration
• Coordinate custodian and ISDA onboarding packages with Global Treasury, and act as liaison among internal functional teams, the client, and custodians to collect the information requisite to onboard the account
• Coordinate and facilitate KYC/AML and legal documentation workflows with Legal and Compliance, from pre-IMA negotiations through signed and executed documents and investment guideline coding
• Set data standards for transitions processes and own ongoing reconciliation and validation of data inputs, establishing a governed source of truth for critical client, account, and regulatory attributes (e.g., ERISA, QIB, 40 Act status)
• Define the authoritative storage location and storage owner for each client data element collected during onboarding, and maintain key client data points for the duration of the account lifecycle
• Own tooling and workflow design supporting execution, tracking, and measurement of account transitions, including the interim Monday.com build and its integration into the final target-state platform
• Build and maintain a repository of playbook-specific checklists, client intake forms, RACI documentation, and related templates that replace email and spreadsheet-based coordination
• Establish standardized milestones, SLAs, and Key Performance Indicators for account transitions; capture volume and cycle-time data to inform go-forward resource planning
• Reduce operational risk and "key person" dependency by formalizing documented process and task-level ownership, with the goal of fewer internal audit and ORM findings and no revenue loss from transition process failures
• Represent the Transitions Hub in recurring internal forums, including pipeline governance meetings and recurring calls with Client Services leads, and support the phased rollout of the model beyond the SMA pilot
Qualifications
• Ideal candidate has a bachelor's degree plus 7+ years in investment operations, client onboarding, or transition management at an asset manager, custodian, or fund administrator
• Demonstrated project management experience leading complex, cross-functional operational workstreams to defined deadlines and control points
• Working knowledge of the SMA onboarding lifecycle, including IMA and investment guideline implementation, custodian and ISDA onboarding, KYC/AML, and portfolio set-up across IBOR and ABOR platforms
• Track record of building operating models, RACI documentation, checklists, and control frameworks where none previously existed
• Experience with workflow and data platforms such as Monday.com, Semarchy, Geneva, and AllVue Everest a plus
• Familiarity with client and regulatory attribute requirements (ERISA, QIB, '40 Act) and related reporting obligations a plus
