The position at a glance

We are seeking an experienced and detail-oriented Vendor Management Officer to oversee and manage relationships with our external US benefits vendors and internal stakeholders.

In detail

The team members are responsible of the following activities:

In this role, you will be responsible for ensuring high performance, compliance, cost-efficiency, and alignment of all US benefit vendors with our organizational goals. This includes vendors supporting health & welfare plans, retirement programs, wellbeing services, and any other outsourced benefit-related services.
• Serve as the primary point of contact and relationship manager for all external US benefit vendors, including health insurance, retirement plan providers, wellness platforms, and voluntary benefits.
• Lead vendor negotiation, onboarding, and renewal processes in collaboration with internal stakeholders and procurement/legal teams.
• Establish and manage performance metrics (SLAs and KPIs) to ensure vendors meet contractual obligations and deliver high-quality service.
• Monitor vendor compliance with regulatory and contractual requirements, including HIPAA, ERISA, ACA, and other applicable laws.
• Collaborate with internal stakeholders to ensure vendors are responding to due diligence questionnaires and IT questionnaires timely.
• Conduct regular business reviews with vendors to assess performance, data risk requirements, resolve issues, and identify opportunities for improvement.
• Meet regularly with U.S. Benefits Department team members, including the Head of U.S. Benefits, to discuss outstanding vendor issues and status of deliverables.
• Maintain thorough documentation of vendor contracts, amendments, and service agreements.

Staff supervision/ Organizational Structure:

This role will have a dual reporting structure reporting into the Head of US Benefits and the Head of HR Vendor Management

  • Bachelor's degree in Human Resources, Business Administration, or related field.
  • Professional working proficiency in English *
  • 5+ years of experience in vendor management, with at least 2 years focused on US vendors
  • In-depth knowledge of vendor sourcing, contract negotiation, and compliance, and data privacy regulations.
  • Strong project management skills with the ability to manage multiple vendors and initiatives simultaneously.
  • Excellent communication, negotiation, and interpersonal skills.
  • Strong analytical skills and attention to detail.
  • Familiarity with RFP and vendor evaluation processes.
