Role: US Office Manager
Reports into: Head of Operations
Contract Type: Full Time, working 7.5 hours per day, 5 days per week
Location: New York, USA, working 5 days a week office based
About You:New York is our first US office as we grow the Oner Active presence in the US. It's essential that the New York office looks, feels and runs like an extension of our London HQ, the same design language, the same energy, the same culture, so that anyone walking into either office feels like they're in the same company.
We are looking for an experienced Office Manager to lead the set-up of our first US office in and then run it day-to-day once it's open. This is a step up from a typical Office Manager role, you will have built an office from scratch before, and you'll bring your own network of contacts in the New York area to make that happen.
Our London team will be scoping potential spaces with our US realtor, so you won't need to find the site yourself, but you will be the senior voice on the ground shaping it, project-managing the fit-out, and making sure it reflects our brand image and ethos, just as our other offices around the world do. Once the office is open, you'll take full ownership of office operations, facilities and culture for a growing team of 25-30 people.
You'll be responsible for:Office Set-Up (Pre-Launch)- Partnering with our London team and US realtor to assess shortlisted spaces on the ground, against our brand, culture and capacity needs
- Project-managing the office fit-out from empty space to move-in ready, on a lean, cost-conscious budget, we're not looking for a big-spend renovation
- Working with our London team to ensure the office mirrors the design and vibe of our London HQ
- Sourcing and managing local contractors, furniture suppliers and tradespeople to deliver the build-out
- Setting up all core office infrastructure - internet/telecoms, security and access systems, furniture installation and signage
- Establishing vendor and supplier relationships in New York (cleaning, maintenance, security, IT) ahead of opening
- Ensuring the space meets local health, safety and building compliance requirements before launch
Daily Office Operations (Post-Launch)- Running the smooth day-to-day running of the office environment
- Maintaining a clean, organised, and professional workspace
- Managing ordering and restocking of office consumables and supplies
- Proactively identifying and addressing operational issues
Facilities Management- Coordinating building maintenance requests and ensuring timely resolution
- Monitoring and recording utility meter readings (e.g., electricity, water)
- Managing repairs, upgrades, and ongoing facilities upkeep in partnership with building management
- Working with our IT Manager in London HQ and external support partners to support the team with IT and tech issues
Vendor & Supplier Management- Maintaining strong relationships with external service providers (e.g., cleaners, maintenance, security)
- Monitoring vendor performance to ensure high-quality service delivery
- Reviewing contracts and negotiating terms when needed, in partnership with the Head of People
Security & Access Control- Acting as the primary liaison with the building's security team
- Managing employee access cards and keys; enforcing security protocols
- Ensuring compliance with health, safety, and security regulations
Employee Engagement & Office Culture- Supporting a positive workplace culture by coordinating office events and team-building activities
- Working with the London People team to ensure the office feels culturally consistent with our other offices
- Addressing employee feedback related to the workplace experience
Office Systems & Inventory Management- Implementing and maintaining office systems to streamline workflows and improve efficiency
- Overseeing inventory and ensuring office supplies and equipment are well-stocked and functional
- Developing tracking systems to reduce waste and avoid shortages
Internal Communication- Serving as the first point of contact for office-related queries and support
- Communicating timely updates on office changes, events, and service disruptions
- Coordinating internal messaging related to office operations and engagement
Budget Management- Managing and tracking both the office set-up budget and ongoing office-related expenses with the London team
- Maintaining accurate budget records and preparing spending reports as needed and identify cost-saving opportunities
You'll need to have:- Proven experience setting up and launching an office from scratch, not just refurbishing an existing space
- An established network of contractors, designers, vendors and suppliers in New York
- 5+ years of experience in office management or facilities management at a senior level, ideally including project management of a fit-out or build-out, in a fast-paced or start-up environment
- Experience managing an office environment for creative, marketing and commercial teams
- A working understanding of US commercial real estate and office fit-out processes
- Confidence operating independently as the most senior person on the ground, representing the brand and the London team
- Exceptional organisational skills with the ability to prioritise and manage multiple responsibilities effectively
- A keen eye for detail and design, with the judgement to keep our New Yorki office true to the Oner Active look and feel
- Excellent communication skills, both verbal and written, and comfortable collaborating remotely with a London-based team
- Knowledge of US health and safety and building regulations as they apply to office environments
Salary Range: We're offering an annual base salary of $70,000 to $100,000 for this role. The exact offer will reflect your experience, skills, and location.
