Poly Prep seeks applicants for the position of
UPPER SCHOOL DIVISION COORDINATOR. The Upper School Division Coordinator will assist the Head of the Upper School with the management, logistics, and daily operations of the Upper School division. The Coordinator will proactively anticipate divisional administrative needs and create systems for efficiently addressing them. The Upper School Division Coordinator will be someone who likes to engage in a fast-paced educational environment, works quickly, efficiently, and collaboratively, and who can meet challenges and opportunities with warmth and openness.
PRIMARY RESPONSIBILITIES AND ACCOUNTABILITIES - Manage, anticipate, and schedule the calendar of the Head of Upper School
- Manage, anticipate, and schedule the Upper School division calendar, in collaboration with the Dean of Students, Upper School Deans Coordinator, Arts, Athletics, and the Events Management team
- Assist with Upper School and faculty events, including but not limited to professional development events, Commencement, Cum Laude inductions, faculty meetings, and faculty social gatherings
- Oversee the standardized testing administration of the PSAT, SAT, and ACT
- Oversee logistical elements of local field trips, including securing transportation, meals, and permission forms
- Order and maintain inventory of supplies for Middle and Upper School faculty
- Coordinate school photos for the yearbook for Upper School students and faculty
- Anticipate all administrative tasks that would support the Upper School and Academic Program, including the creation of systems for efficient execution of program initiatives
- Actively participate in a positive school culture through shared duties, faculty meeting discussions, participation in special events, committees, and professional development
- Interact with students, teachers, families, and all other constituents in a cordial, professional manner
QUALIFICATIONSEducation: Bachelor's degree
Experience: Minimum 3-5 years experience in a school office setting or as executive administrative assistant or in a professional setting. Experience in an independent school or educational setting is preferred.
Specific Skills: Expert skills in Google Suite, experience with student information systems such as Veracross preferred; comfort learning new technologies and data management systems

Salary: $85,000 - $95,000 (All levels of experience are welcome to apply. Salary is based upon, but not limited to, relevant experience and expertise.)
