Full Job Description
Job Title: Travel Coordinator

About the Role:

We are seeking an experienced Travel Coordinator who will be responsible for offering excellent customer service, assisting our employees in arranging all aspects of business travel, facilitate professional, accurate, cost-effective travel arrangements, keeping all department functions and processes in line with standard accounting practices and internal controls. This position will work closely with other departments such as Accounting, Payroll, and Finance.

What You'll Do:
  • Excels in customer care
  • Arranges flights, accommodation, and transportation for personnel traveling to/from site per the project schedule.
  • Coordinates flight schedules and passenger movements;
  • Resolves and addresses flight discrepancies, delays, cancellations, and/or grievances.
  • Researches and coordinates "best value" flight arrangements;
  • Trusted advisor provides informed and insightful recommendations ensuring best travel experience while adhering to travel policy.
  • Coordinate domestic and international travel for big groups
  • General resource and point of contact for travel-related issues
  • Completes hotel reservations and payment
  • Responds to broad spectrum of travel issues (changes, cancellations, extensions, etc.) by email, text and telephone.
  • Prepares travel confirmations, processes, and delivers travel schedules as requested
  • Keeps detailed, accurate and updated records using existing filing system
  • Maintain excellent relations with travelers and outside vendors with prompt response times
  • Ensure compliance with travel policies and procedures
  • Resolve hotel no shows, cancellations, and early check out fees.
  • Demonstrates excellent telephone and service etiquette
  • Provide after hours and weekend support as needed
  • Collaborate with other administrative staff and work in a team environment
  • Assisting with onsite and external events as needed
  • Flexible approach to work with ability to adapt to changes, priorities and deadlines
  • Maintains high level of confidentiality
  • Ability to complete expense report overflow via Concur
  • Assists and supports other administrative duties as directed by the Travel Manager
  • Ad hoc duties as assigned

What You'll Need:
  • 1+ years of corporate travel industry experience
  • 1+ Experience using Concur Travel and Expense system
  • Experience with domestic and international travel reservations
  • Excellent written and verbal communication skills
  • Ability to handle sensitive matters and exercise sound judgment, discretion, and confidentiality
  • Ability to be available in the evenings and weekends for travel emergencies
  • Must be detail-oriented, highly organized, and able to work independently with minimal direction/supervision
  • Patience and flexibility
  • Proficiency in Microsoft Office products (Outlook, Word, Excel, PowerPoint)
  • Regular and dependable attendance and punctuality is required
  • Proven success prioritizing work and maintaining composure in a fast-paced environment

The minimum salary for the Travel Coordinator position is $80,000 annually and the maximum salary for the Travel Coordinator position is $90,000 annually.
