Job Description:

Newmark is seeking a highly organized, proactive and client-focused professional to support a top-producing brokerage executive in Newmark's Silicon Valley/San Jose office. This position will be a key part of the executive's expanding team, which specializes in agency leasing and tenant representation.

The successful candidate will provide transaction coordination, client-service and business-development support. The role requires a professional who can manage multiple priorities, maintain a high level of accuracy and follow-through, and serve as an effective extension of the executive's team both in and outside the office.

Essential Job Duties:
  • Provide direct day-to-day support to a top-producing brokerage executive and the executive's growing agency leasing and tenant-representation team.
  • Support client calls, meetings, negotiations and other transaction-related activities.
  • Attend property tours, client meetings and other business activities as needed; interface directly with clients, prospects, landlords, tenants, vendors and internal partners as an extension of the executive's team.
  • Maintain complete, accurate and well-organized transaction, listing and required form files in accordance with company procedures and applicable requirements.
  • Monitor and maintain a real estate project-tracking system to ensure timely transaction completion; track key deadlines, deliverables, approvals and follow-up items.
  • Prepare, update, collate and package reports and other materials as instructed by the team.
  • Assist with client report writing, presentations and client account management.
  • Conduct research, analytics and data mining related to market activity, properties, ownership, tenants, development, clients and business opportunities.
  • Continually stay informed of local, national and global real estate trends, market developments, technology and innovation relevant to clients and the team's business.
  • Support business-development efforts, including prospect research, CRM and pipeline tracking, pursuit materials, client events, industry events and follow-up communications.
  • Provide sales support for key pursuits and business-development activities, including support for major client presentations.
  • Prepare mapping and workflow analyses as appropriate to support transactions, client service and business development.
  • Work with in-house proprietary technology and analytical toolkits, as well as client-service and project-management tools.
  • Use AI-enabled tools to improve research, communication, reporting, analysis and workflow efficiency; ability to build and maintain customized AI agents and dashboards is preferred.
  • Perform administrative functions and prepare professional communications as required.
  • May perform other duties as assigned.

Skills, Education and Experience:
  • Bachelor's degree in business, real estate, finance, economics, marketing or a related field preferred.
  • Minimum of 5 years of relevant experience in commercial real estate brokerage, transaction coordination, client service, executive support, business development or a similarly fast-paced professional-services environment.
  • Real Estate License Required - may obtain within 90 days of hire.
  • Strong written, verbal and interpersonal communication skills; ability to interact professionally and confidently with senior executives, clients, prospects and internal stakeholders.
  • Exceptional organizational, project-management and follow-through skills, with the ability to manage multiple assignments and deadlines with accuracy and discretion.
  • Proficiency with Microsoft Office and client-service tools, including PowerPoint, Excel, Word and Outlook. Experience with CRM, transaction-management, project-tracking, mapping and presentation tools is preferred.
  • Proficiency using AI tools for research, drafting, analysis and workflow improvement. Experience building customized AI agents and dashboards is preferred.

Salary Range: $90,000 - $100,000
