Full Job Description
JOB MISSION:

The Trademark Docketing Paralegal is responsible for maintaining and managing the trademark docket, monitoring critical deadlines, and supporting trademark prosecution, maintenance, and portfolio management activities. This role ensures the accuracy and integrity of trademark records and deadlines across domestic and international trademark portfolios and works closely with attorneys, other paralegals, and foreign counsel.

The ideal candidate is highly organized, detail-oriented, efficient, and experienced in trademark docketing systems, intellectual property databases, and trademark office procedures.

MAJOR ACCOUNTABILITIES:

Docket Management:
  • Maintain and update trademark docketing databases and records for domestic and international trademark matters, including trademark applications, oppositions, cancellations, enforcement matters, and litigations.
  • Review and process incoming correspondence from the USPTO, WIPO, foreign trademark offices, foreign associates, and internal clients.
  • Generate and distribute daily, weekly, and monthly docket reports, as requested.
  • Monitor upcoming due dates and follow up with responsible attorneys and legal staff to ensure timely action.


Accurately docket and track critical deadlines, including:
  • Office action response deadlines
  • Opposition, cancellation and litigation deadlines
  • Notice of allowance deadlines
  • Statement of Use deadlines
  • Registration maintenance and renewal deadlines
  • International registration deadlines
  • Counsel reminders


Trademark Prosecution Support:
  • Open and maintain trademark files and records.
  • Update trademark portfolio information, ownership details, and status changes.
  • Assist with trademark filing, prosecution, maintenance, and renewal activities as directed.
  • Coordinate with foreign associates regarding international trademark filings and deadline management.
  • Review trademark office notices and correspondence for docketing implications.


Data Management and Quality Control:
  • Conduct regular audits of docket records to ensure accuracy and completeness.
  • Verify data integrity between docketing systems, trademark office databases, and internal records.
  • Assist with portfolio data cleanup projects and database maintenance.
  • Prepare status reports, portfolio summaries, and other trademark-related tracking reports.


Administrative Support:
  • Maintain electronic and physical trademark files.
  • Assist with document organization and record retention in accordance with firm or company policies.
  • Work with outside vendors to obtain legalization and apostilles for official documents.
  • Support attorneys, paralegals, and legal operations personnel with special projects (such as evidence collection) and administrative tasks, on an as needed basis.


REQUIREMENTS FOR SUCCESS:
  • Associate's degree, paralegal certificate, or equivalent combination of education and experience preferred.
  • 1-5 years of experience in intellectual property docketing, trademark administration, trademark paralegal work, or legal support.
  • Experience with domestic and international trademark portfolios preferred.
  • Experience in a law firm, corporate legal department, or intellectual property services environment preferred.
  • Knowledge of U.S. trademark prosecution procedures and trademark office deadlines.
  • Familiarity with international trademark filing and maintenance processes, including Madrid Protocol procedures, preferred.
  • Experience with IP docketing software such as FoundationIP, CPI, Anaqua, IP Manager, WebTMS, or equivalent systems.
  • Strong attention to detail and accuracy.
  • Excellent organizational and time-management skills.
  • Ability to manage multiple deadlines and prioritize competing demands.
  • Strong written and verbal communication skills.
  • Proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and Teams.
  • Ability to work independently and collaboratively in a fast-paced environment.


Boston, MA Headquarters - (NB) Only Pay Range: $39.45 - $50.90 - $62.30 Hourly (actual base pay varying based upon, but not limited to, relevant experience, time in role, internal equity, geographic location, and more.)
