Position Overview

We are seeking a detail-oriented and highly organized Technical Communications Specialist to support a senior research and technology organization. This dual-function role combines task management and workflow coordination with technical writing and editing responsibilities. The successful candidate will manage the flow of actionable items across multiple stakeholders while producing and refining high-quality technical and executive-level documentation. Travel may be required.

Responsibilities

Task Management & Workflow Coordination
  • Monitor, assign, and track all actionable tasks coming to the organization from internal and external stakeholders, including executive offices, control officers, headquarters communications offices, legislative liaison offices, and senior leadership entities.
  • Analyze incoming requirements and generate tasks assigned to subordinate units for execution by affiliated laboratories, research centers, and other organizational components.
  • Utilize a web-based correspondence and task management system to track incoming work items and correspondence distributed through a hierarchical, chain-of-command office structure.
  • Provide quality control on staffing packets, ensuring all documents, staffing and routing forms, and attachments are complete and accurate.
  • Manage the flow of information and actions to organizational leadership.
  • Support and expedite staffing packets through the review process, including legal and control officer reviews, with staffing to executive and senior leadership positions.
  • Develop and maintain process maps documenting all staff functions of the directorate.
  • Create, track, and manage all outgoing taskers using best practices and in-depth knowledge of the task management system.
  • Provide support for additional executive office duties as needed.

Technical Writing & Editing
  • Provide technical writing and editing support, including grammar, spelling, and overall review of documents and presentations.
  • Develop and refine deliverables including weekly activity reports, information papers, publication articles, briefings, and technical studies and assessments related to programs within the organization's purview.
  • Perform comprehensive document support across three levels:
    1. Editing - review both content (completeness, accuracy, and appropriate language) and form (organization, visual design, and usability).
    2. Copyediting - ensure documents are mechanically correct (spelling, punctuation, and grammar) and stylistically consistent.
    3. Proofreading - compare the final version of a document against the marked-up version to confirm all corrections have been incorporated.
  • Prepare and distribute Monthly Status Reports.
  • Prepare correspondence and documentation that is clear, concise, and effectively articulates the value of the organization's science and technology efforts.
  • Translate contributed, raw, and in-depth technical data into content appropriate for the intended audience.
  • Explain scientific and technical concepts in plain language, ensuring technical material is easily understood by a layperson.

Required Skills and Experience
  • Demonstrated experience in task management, workflow coordination, or executive staff support within a large, hierarchical organization.
  • Proficiency with web-based correspondence or task management/tracking systems.
  • Strong technical writing, editing, copyediting, and proofreading skills.
  • Ability to interpret complex scientific and technical material and communicate it clearly to diverse audiences.
  • Exceptional attention to detail, organization, and quality control.
  • Strong interpersonal and communication skills for interfacing with senior leadership and multiple stakeholders.
  • Ability to work effectively remotely in cross-functional teams.
  • Ability to meet deadlines and produce quality work.
  • Proficient in Microsoft Suite software including Outlook, Word, Excel, SharePoint, and PowerPoint.

Preferred Skills and Experience
  • Background or familiarity with science and technology (S&T) or research and development environments.

Applicants selected will be subject to a security investigation and may need to meet eligibility requirements. Secret Clearance is required for continued employment.

Work Location: 5 Days Onsite, Crystal City, Arlington, VA.

Compensation

The salary range for this position is $110,000 - $135,000. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
