Job Description

Reporting to the Manager, Payroll, the Team Lead is responsible for overseeing day-to-day payroll operations and providing supervision to the payroll team. This role ensures accurate and timely payroll processing, adherence to legislative and collective agreement requirements, and the delivery of high-quality, customer-focused service to both internal and external stakeholders. The successful candidate should have experience working with unionized payroll, demonstrate strong strategic thinking with the ability to see beyond day-to-day tasks, and possess an in-depth understanding of payroll legislation, taxation, and regulatory requirements. The Team Lead also monitors team engagement and contributes to initiatives that support staff satisfaction and performance.

Accountabilities:
  • Oversee the preparation and processing of payroll, ensuring accuracy in wage calculations, tax withholdings, and deductions
  • Prepare all year end reporting requirements, including T4 processing, EHT and WSIB annual reconciliations, and HOOPP MDC reporting
  • Assist with implementing payroll legislative updates and payroll related collective agreement changes in the in-house Meditech Payroll/Personnel system
  • Prepare monthly reconciliations of payroll balance sheet accounts and complete annual register reconciliations to the Meditech General Ledger for Manager review and sign off
  • Prepare bi weekly, quarterly, and ad hoc reports for Management, Finance, Human Resources, and other internal stakeholders
  • Coordinate calculations and disbursements of retroactive payments and other special payments related to HR compensation strategies and collective agreement settlements
  • Support the payroll team and Manager by serving as the point of contact for escalated payroll inquiries and assisting team members in resolving errors and questions
  • Delivers outstanding customer-focused service to internal and external stakeholders
  • Participate in special projects as assigned by the Manager
  • May be required to work at any hospital site as needed


Qualifications
  • Completion of a Business Administration or Accounting diploma (or related discipline) from a recognized college or university
  • Certified Payroll Manager (CPM) designation from the National Payroll Institute (NPI)
  • 3-5 years payroll experience - in a payroll administrator role/payroll specialist; and 1-2 supervisory/mentoring or team coordination
  • Working knowledge of Meditech Payroll/Personnel and UKG Workforce Dimensions is an asset
  • Experience with the Healthcare of Ontario Pension Plan (HOOPP) is preferred
  • Excellent interpersonal, communication, and customer service skills (written and verbal)
  • Demonstrated initiative, strong problem solving abilities, and solid organizational and analytical skills
  • Ability to prioritize and manage multiple tasks in a high volume, fast paced environment
  • Advanced proficiency in MS Office (Word, Excel, Outlook)
  • Ability to work accurately under pressure and meet tight deadlines

Additional Information

Hours: Currently days, eight hour shifts Monday to Friday (subject to change in accordance with operational requirements)

Hybrid: Roles that function remotely, but require essential, regular onsite weekly work.

Annual Salary:
Minimum: $81,315.00
Maximum: $101,634.00
