Join a world-class academic healthcare system, UChicago Medicine, as a Talent Operations Consultant. This is a hybrid position that requires onsite attendance for department meetings, audits, surveys, and other business needs, as well as travel to locations throughout the Chicagoland area as needed. Candidates must be based in the greater Chicagoland area.

The Talent Operations Consultant serves as a key operational resource within Talent Strategy & Experience, responsible for independently managing critical compliance, regulatory, immigration-related processes, and talent operations processes that support workforce operations across the health system. The Talent Operations Consultant plays a critical role in ensuring the medical center maintains full compliance with all applicable federal, state, and regulatory standards related to employment. This position serves as the primary HR contact for internal and external audits, regulatory surveys (announced or unannounced), is responsible for independently coordinating and responding to compliance-related requests and serves as a primary resource for employee relations reporting and support. The Talent Operations Consultant also manages credential and licensure tracking, I-9 verifications, and immigration processes in collaboration with HR and legal partners. This role includes responsibility for occasional after-hours and weekend support during unannounced surveys or audits.

Essential Job Functions
  • Serve as the lead and primary HR liaison for all internal and external surveys and audits (e.g., The Joint Commission, CMS, state health departments etc.).
  • Coordinate responses to surveyor requests in collaboration with HR team members, department directors, and other stakeholders.
  • Track and follow up on any HR-related findings or corrective actions resulting from surveys or audits.
  • Maintain a system for tracking required licenses and certifications for all licensed staff.
  • Regularly audit employee files to ensure all credentials remain current and compliant with regulatory and organizational requirements.
  • Notify managers and staff of upcoming expirations and escalate compliance risks as needed.
  • Maintain and audit all I-9 records in compliance with federal employment laws.
  • Conduct regular reviews to ensure timely reverification and proper documentation.
  • Serve as the primary HR resource for E-Verify (if applicable) and I-9-related inquiries.
  • Act as the primary HR contact for all immigration-related matters, including H-1B, J-1, TN, and green card processes.
  • Partner with the organization's immigration attorney to support and manage employee sponsorships and visa filings.
  • Ensure accurate and timely record-keeping of immigration documentation and deadlines.
  • Provide operational support for recurring Talent Operations processes, including workflow approvals, system administration activities, onboarding support, and workforce transactions within Oracle and related HR systems.
  • Ensure HR policies, practices, and records align with all employment laws, regulatory standards, and internal guidelines.
  • Participate in policy reviews and updates related to HR compliance matters.
  • Maintain confidentiality of employee records and sensitive information.


Required Qualifications
  • Bachelor's degree in Human Resources, Business Administration, Healthcare Administration, or a related field
  • 6-8 years of experience in supporting audits, regulatory compliance activities, employee relations processes and immigration administration required, 8+ preferred
  • 6-8 years of experience in HR operations, compliance, employee relations, workforce administration, healthcare HR, or related disciplines required, 8+ preferred
  • In-depth knowledge of employment laws, healthcare regulations, and HR compliance best practices
  • Familiarity with immigration processes and working with legal counsel
  • Strong organizational and project management skills
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office Suite and HRIS systems (e.g., Oracle, Equifax, Oracle Recruiting Cloud)
  • In-depth knowledge of employment laws, healthcare regulations, and HR compliance
  • Strong organizational and project management skills
  • Demonstrated ability to independently manage complex operational work with minimal supervision
  • Excellent verbal and written communication skills
  • Ability to manage multiple priorities in a fast-paced, regulated environment

Preferred Qualifications
  • Experience in an academic medical center or healthcare setting is strongly preferred
  • PHR, SPHR, SHRM-CP, SHRM-SCP, or related certification

The pay range is based on a full-time equivalent (1.0 FTE) and is reflective of current market data, reviewed on an annual basis. Compensation offered at the time of hire will vary based on candidate qualifications and experience and organizational considerations, such as internal equity. Pay ranges for employees subject to Collective Bargaining Agreements are negotiated by the medical center and their respective union.
