POSITION SUMMARY

The Systems Manager is responsible for overseeing, maintaining, and improving the organization's operational and technology systems. This role ensures that business systems are reliable, secure, properly configured, and effectively support clinical, administrative, financial, human resources, and operational functions.

The Systems Manager will serve as the primary liaison between internal departments, system vendors, and technical support teams. The position requires strong project management, problem-solving, communication, and systems-analysis skills.

ESSENTIAL DUTIES & RESPONSIBILITIES
  • Oversee the daily administration, maintenance, and performance of the organization's operational systems and software platforms.
  • Manage system access, user permissions, role assignments, and account terminations.
  • Coordinate system implementations, upgrades, integrations, testing, and configuration changes.
  • Serve as the primary point of contact for system vendors, consultants, and technical support providers.
  • Troubleshoot system issues and ensure concerns are documented, escalated, and resolved promptly.
  • Partner with department leaders to evaluate workflows and identify opportunities for automation, efficiency, and process improvement.
  • Develop and maintain system policies, procedures, workflows, user guides, and training materials.
  • Provide system training and ongoing support to employees and managers.
  • Monitor system utilization, data accuracy, compliance, and performance.
  • Create and distribute operational reports, dashboards, audits, and system-related metrics.
  • Ensure systems comply with applicable privacy, security, and healthcare regulations, including HIPAA.
  • Coordinate with leadership and vendors regarding cybersecurity, data protection, system backups, disaster recovery, and business continuity.
  • Support employee onboarding and offboarding by ensuring appropriate system access is granted or removed.
  • Maintain an inventory of systems, licenses, equipment, vendor contacts, contracts, and renewal dates.
  • Review system-related invoices, licensing costs, and vendor agreements.
  • Support data migrations, reporting projects, and cross-departmental initiatives.
  • Manage multiple system projects, timelines, testing requirements, deliverables, and follow-up activities.

REQUIRED SKILLS & EXPERIENCE
  • Bachelor's degree in information systems, business administration, healthcare administration, technology, or a related field preferred.
  • Three to five years of experience in systems administration, business systems, healthcare operations, project management, or a related role.
  • Experience within a healthcare, home care, home health, or regulated environment strongly preferred.
  • Experience working with third-party vendors and software support teams.
  • Strong understanding of system access, data integrity, reporting, workflows, and process improvement.
  • Knowledge of HIPAA, confidentiality, cybersecurity, and data privacy requirements.
  • Proficiency in Microsoft Office, including Excel, Outlook, Word, and PowerPoint.
  • Ability to learn and manage multiple technology platforms.
  • Strong analytical, organizational, and project-management skills.
  • Excellent written and verbal communication skills.
  • Ability to manage competing priorities and meet deadlines with limited supervision.
