DescriptionIBSS is seeking an experienced Student Information System (SIS) Administrator to support a global K-12 education mission. This position provides hands-on administration, configuration, troubleshooting, and data management for the Follett Aspen student information system.
Working closely with government staff, school and district stakeholders, software vendors, and data engineering teams, the SIS Administrator will maintain reliable daily operations, improve student data quality, and support education data integration and SIS modernization initiatives.
Key Responsibilities - Administer the SIS: Manage application configurations, user accounts, security roles, permissions, reference tables, forms, workflows, and scheduled processes across production and nonproduction environments.
- Support school operations: Configure and troubleshoot enrollment, registration, attendance, scheduling, grading, gradebooks, transcripts, assessments, special programs, and parent/student access.
- Manage annual processing: Coordinate year-end rollover, school-year startup, student promotion, scheduling preparation, and related validation activities to maintain continuity of school operations.
- Maintain data quality and reporting: Develop and maintain reports, extracts, imports, and exports; identify duplicate, incomplete, or inconsistent records; investigate root causes; and coordinate approved corrections and reporting validation.
- Support integrations: Work with data engineers and vendors on Aspen-to-Ed-Fi field mapping, reference-code and descriptor alignment, export configuration, interface troubleshooting, and source-data validation.
- Support modernization and migration: Document current business processes and requirements, evaluate proposed configurations, validate converted records, develop realistic test scenarios, and assist with implementation readiness and post-transition support.
- Resolve issues and manage changes: Investigate escalated application and data issues, coordinate vendor support, test updates and fixes, document results, and support controlled deployment of approved changes.
- Document and share knowledge: Maintain operating procedures, configuration records, troubleshooting guides, and user guidance; provide practical assistance and knowledge transfer to government and district personnel.
Required Qualifications - Must be able to obtain a Secret security clearance.
- Five (5+) years of hands-on experience administering or supporting a K-12 student information system, including districtwide or enterprise-level configuration and operational support.
- Experience with Follett Aspen or a comparable K-12 SIS, including user permissions, application configuration, reporting, imports/exports, and school-year processing.
- Strong understanding of student information workflows, including enrollment, attendance, scheduling, grading, transcripts, and student transfers.
- Experience investigating student data issues, validating reports and extracts, and coordinating corrective actions with technical and functional stakeholders.
- Familiarity with the Ed-Fi Data Standard and education data exchange concepts, including field mapping, reference codes, and data validation.
- Ability to translate operational needs into documented requirements, configuration changes, test cases, and clear user instructions.
- Strong troubleshooting, organization, and communication skills, with the ability to manage competing priorities and work independently.
- Ability to satisfy the government's background investigation and system-access requirements.
Preferred Qualifications - Direct experience administering Follett Aspen across multiple schools or districts.
- Experience supporting a K-12 SIS implementation or migration, including conversion validation, user acceptance testing, cutover preparation, or go-live support.
- Experience with special education data and workflows, including eligibility, individualized education programs, service records, reporting, and restricted access.
- Working knowledge of SQL, advanced Excel, or comparable tools for data analysis and reconciliation.
- Experience supporting DoDEA, another federal education environment, or a large, geographically distributed school system.
- Bachelor's degree in information systems, education technology, computer science, or a related field, or an equivalent combination of education and relevant experience.
