Full Job Description
Job Summary:

A Staff Assistant job in Washington, DC is currently available through Belcan at one of our key Federal Civilian clients. To be considered for this role, you will have a bachelor's degree and 10 years of relevant experience.

Job Duties:

  • Provide comprehensive executive administrative support to a Deputy Assistant Secretary (DAS)-level principal; serve as the primary point of contact and communications conduit for internal and external stakeholders including senior Department officials worldwide.
  • Manage a complex, high-volume calendar; schedule and coordinate senior-level meetings, conferences, VIP visits, and after-hours duty requirements; arrange domestic and international travel and process all related expense vouchers per Department travel policies.
  • Review, draft, edit, and prepare diplomatic correspondence, briefing materials, and executive documents; facilitate document clearances and ensure strict adherence to Departmental protocols and timelines.
  • Communicate on behalf of the principal to internal and external stakeholders; attend senior meetings, record proceedings, and prepare accurate meeting summaries, action item trackers, and week-ahead reports.
  • Implement knowledge and records management policies; develop and update administrative and operational procedures; manage office budget including vouchers, travel expenses, and petty cash; maintain and certify employee attendance records.
  • Lead and support change management and technology adoption initiatives; educate staff on Microsoft Office applications, virtual communication platforms, and Department-specific programs and AI tools.
  • Facilitate visitor access and manage all logistical requirements for official events and functions; ensure adherence to protocol requirements and applicable regulations.


Required Qualifications:

  • Top Secret clearance.
  • Bachelor's degree and 10 years of relevant experience.
  • Proficiency in Microsoft 365 applications and comfort with emerging technologies, communication platforms, and enterprise systems.
  • Experience supporting senior executives, including acting as a primary liaison with internal and external stakeholders.
  • Demonstrated expertise in high - volume calendar and schedule management, including coordinating senior - level meetings, interagency engagements, VIP visits, and domestic/international travel.
  • Strong writing and editing skills, with experience preparing, reviewing, and coordinating executive correspondence, briefing materials, and official documents in adherence to federal or departmental protocols.
  • Proven ability to communicate on behalf of senior leadership, including representing the principal in meetings, preparing meeting summaries, tracking action items, and producing executive reports.
  • Strong organizational and project management skills, with the ability to prioritize competing demands, meet tight deadlines, maintain confidentiality, and ensure compliance with protocol and regulatory requirements.
  • Excellent interpersonal skills with the ability to work effectively across all levels of an organization, including senior leadership, interagency partners, and external stakeholders.
  • Experience with E2 Solutions or similar government travel and expense management systems.


Preferred Qualifications & Skills:

  • Department of State front office experience.
  • Experience with TaskIt, ReserveIt, and myServices.


Compensation:

We provide a competitive pay and benefits package. This position is offering a salary range of $115,000 - $140,000. Belcan considers several factors when extending an offer, including but not limited to education, experience, geographic location, and discipline. Benefits offered may include health care, dental, vision, life insurance; 401(k); education assistance; paid time off including PTO, holidays, and any other paid leave required by law.
