Position Summary

Ogletree Deakins has the opportunity for a Senior Manager of Real Estate Portfolio Management to join our expanding department. The Senior Manager reports to the Director of Real Estate Portfolio Management and will manage daily operations to provide answers, directions, and solutions related to lease administration, budget/forecasting, accounting, general ledger, vendor and landlord inquiries while supporting business leaders in real estate, project management, and finance. The Senior Manager must be comfortable taking ownership and will exhibit leadership skills understanding the importance of high level decision making, working with a sense of urgency while maintaining attention to detail. This position develops, implements, and refines best practices and processes for solution delivery. Senior Project Coordinators, Project Coordinator, Senior Accountant, and Specialist for the department report directly to the Senior Manager. We prefer the candidate live in or around our Greenville, SC headquarters, but candidates in other locations will also be considered.

Essential Functions

  • Directs and manages the daily workflow, responsibilities and relationships of the REPM staff. Mentor, advise, train and direct Department activities to fulfil Firm's mission statement and ensure attorney, staff and vendor inquiries are completed efficiently and timely.
  • Establish standards and policies related to various processes: (a) lease action evaluation and execution, (b) evaluation of lease financial terms, (c) site selection if applicable, (d) relocation/moving of offices, (e) office invoice payment processing, and (f) vendor management. Various lease action type processes include renewal, relocation, reconfigurations, space expansion, new locations, and close locations.
  • Review lease terms, pending lease items, RSF/attorney, current occupancy, vacancies and options in leases reporting to the Director of Real Estate Portfolio Management any items which need immediate attention.
  • Prepare and maintain construction budgets for all Real Estate Portfolio Management projects - new office openings and any renovations, additions, etc. for existing locations.
  • Prepare for and direct on-site construction design meetings and page turn meetings for all Firm projects.
  • Must have detailed knowledge of all construction projects and ability to fill in as needed for the Senior Project Coordinators for progress visits, emergency decisions, and other construction-related details.
  • Prepare and request capital projects as needed.
  • Gather and organize information from all Office Administrators regarding capital requests. Submit appropriate requests for approval and track all projects throughout the year for completion and budget variances.
  • Maintain monthly reconciliation of tenant improvement funds for on-going construction projects and request funds as appropriate.
  • Ensure the firm's core values are being administered and communicated within the projects being implemented and executed by the Real Estate Portfolio Management department.
  • Maintain the fiscal health of the Real Estate Portfolio Management department by monitoring the department's budget monthly and analyzing budget variances in a timely manner.
  • Responsible for monitoring of firm project budgets relative to actual costs. Analyze and make adjustments during the project to keep the budget in line and update budgets as needed as change orders, new contracts, etc. are received.
  • Manage critical lease execution date process according to lease parameters and supports lease negotiations activities as required.
  • Develop and maintain a project pipeline, and manage and complete all aspects of projects within budget and schedule on the total real estate portfolio highlighting key indicators.
  • Provide cost reporting and management of all aspects of property projects and scheduling for relocations and new offices including but not limited to rent, TI, furniture, cabling, security, and moving.
  • Administrator for BNA Software to include setting up new companies, locations, asset types, regular maintenance, etc. for the PC and International LLP and ensure its integrity.
  • Create, maintain, optimize, and organize policies and practices as it relates to the lease portfolio administration.
  • Prepare reports for auditors as needed regarding assets, depreciation and rent amortization schedules.
  • Improve the operational systems, processes and policies to support the Firm's mission. Specifically, support better management reporting, information flow and management, business process, and organizational planning.
  • Communicate and proactively work with staff on training and development as it relates to lease administration, invoice processing and budget/forecasting.
  • Coordinate and organize personnel and resources for effective workflow of project implementation.
  • Approve all timesheets, expense reports and credit card payments for the Real Estate Portfolio Management department.
  • Complete yearly staff evaluations.
  • Coordinate and oversee the completion of special projects as needed.

Requirements

  • Four year degree and 6+ years of management experience in a legal or professional services environment, or combination of experience and education.
  • Candidates must be professional and have experience in managing, coaching, training and directing others.
  • Excellent oral and written communication skills are essential to the position.
  • PMP Certification is desired.
  • Proficient in all Microsoft applications, including but not limited to Word, Excel, PowerPoint, Outlook, Document Management System, expense and billing systems.
  • Strong leadership and proven ability to manage employees effectively.
  • Superior communication skills, both written and oral; ability to communicate professionally at all levels of the firm.
  • Excellent organizational and presentation skills.
  • Ability to take initiative and facilitate solutions to business problems with keen sense of effectiveness and good judgment.
  • Analytical - able to research data and interact with all levels of staff and vendors to clarify and establish direction on non-routine matters.
