Sr. Executive Assistant - Contract Administrator

SUMMARY

KPC Health is seeking an experienced, highly organized, and professional Executive Assistant - Contract Administrator to provide executive-level administrative, legal, and operational support to senior leadership in a dynamic healthcare environment. This role serves as a trusted partner to executive leadership, supporting strategic initiatives, corporate governance, contract administration, and executive operations across a multi-hospital healthcare system.

REQUIREMENTS

Qualifications
  • Bachelor's degree in Business Administration, Healthcare Administration, Legal Studies, Public Administration, or a related field or equivalent applicable experience.
  • Paralegal Certificate or Degree preferred; candidates without a paralegal credential must possess a minimum of 10 years of progressively responsible Executive Assistant experience supporting C-suite executives in a healthcare organization.
  • Demonstrated experience with healthcare contract administration, legal documentation, physician agreements, consulting agreements, regulatory compliance, and executive governance.
  • Proven ability to manage highly confidential information and support executive leadership in a complex healthcare environment.

  • Understanding of healthcare regulatory standards, accreditation requirements, and compliance processes
  • Experience with MediTract or similar contract management systems

DUTIES AND RESPONSIBILITIES
  • Provide direct administrative and operational support to executive leadership, including calendar management, meeting coordination, travel arrangements, and executive communications.
  • Coordinate Board, Executive Leadership, physician, strategic planning, and other high-level meetings, including scheduling, logistics, materials, and follow-up activities.
  • Draft, prepare, review, and coordinate Non-Disclosure Agreements (NDAs), physician agreements, consulting agreements, Business Associate Agreements (BAAs), amendments, and other legal and contractual documents in collaboration with appropriate stakeholders.
  • Assist with contract administration and oversee contract workflows through MediTract or similar contract management systems. Responsibilities include, but are not limited to:
    • Managing and maintaining system-wide contract records and workflows.
    • Reviewing the contract database to identify duplicate, expired, or potentially conflicting agreements.
    • Monitoring contracts throughout the review, approval, and execution process.
    • Ensuring required contract information, documentation, and approvals are complete and accurate.
    • Providing training and ongoing support to MediTract users across the organization.
    • Assisting with contract tracking, reporting, and system maintenance.
  • Coordinate projects, operational priorities, and strategic initiatives across multiple healthcare facilities and corporate departments.
  • Prepare executive reports, presentations, meeting materials, correspondence, and other documentation for executive leadership.
  • Serve as a primary liaison between executive leadership, physicians, legal counsel, facility leadership, vendors, consultants, and external stakeholders.
  • Maintain the highest level of confidentiality and discretion while supporting executive operations, sensitive business matters, contractual activities, and corporate governance.
  • Perform other duties and special projects as assigned.
