Description & Requirements

We are seeking a Legal Operations Specialist to support core functions within the Office of General Counsel. This role is ideal for a detail oriented professional who thrives on improving processes, supporting compliance, and strengthening legal operational functions. You will help streamline legal workflows, manage key operational processes, and collaborate across multiple teams to support the department's success. This person will report to the head of Legal Operations

Essential Duties and Responsibilities:

- Maintain the entity management system and support annual reporting requirements to ensure accurate and timely corporate recordkeeping.

- Manage the governance and compliance calendar, tracking deadlines and maintaining up-to-date documentation for internal and regulatory needs.

- Prepare and maintain corporate records, including resolutions, annual reports, and other governance documents.

- Support state licensing and Secretary of State filings, ensuring proper submission and documentation across jurisdictions.

- Coordinate with legal vendors and outside counsel, including budget tracking, invoice routing, and engagement documentation.

- Support legal technology platforms, including e-billing, matter management, and contract management tools, ensuring accurate data and system usability.

- Maintain and enhance legal document repositories, improving file structures, access controls, and documentation processes.

- Support onboarding for new legal department hires, including system access, training coordination, and process documentation.

- Coordinate meetings and events for the Office of the General Counsel, such as offsites and All-Hands sessions, including agenda preparation and logistical support.

- Provide administrative and project support including scheduling, formatting communications, and contributing to special projects as needed.

Minimum Requirements

- Bachelor's degree in relevant field of study and 3+ years of relevant professional experience required, or equivalent combination of education and experience.

Additional Minimum Requirements;

  • Some Experience in legal operations or corporate governance
  • Knowledge of entity management and corporate filings
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Familiarity with SharePoint and Salesforce
  • Strong organization and attention to detail skills
  • Ability to handle confidential information and work independently or collaboratively.

Preferred Qualifications:

  • Experience with legal tech (e-billing, document management systems)
  • Experience supporting outside counsel/vendor coordination
  • Familiarity with governance documentation
