Position Summary

The Space & Workplace Experience Planner is a strategic, results-driven professional responsible for optimizing workplace environments across a national facilities portfolio. This role partners closely with cross-functional stakeholders to support space planning, workplace design, and real estate initiatives that enhance operational efficiency and elevate the employee experience.

The Planner delivers data-informed, scenario-based solutions that align with business growth, occupancy strategies, and evolving workplace needs. This position plays a critical role in translating organizational requirements into scalable, well-executed space and workplace strategies across multiple sites.
Essential Duties & Responsibilities
  • Conduct space utilization studies and recommend layout and occupancy improvements to optimize workspace efficiency and support hybrid work strategies.
  • Develop, maintain, and update master space plans for existing and planned locations across the portfolio.
  • Support long-term strategic planning through scenario modeling for headcount growth, capacity needs, and workplace design options.
  • Analyze capacity and utilization data to inform real estate strategies, space optimization, and expansion decisions.
  • Coordinate and manage small to mid-sized facility projects, including reconfigurations, renovations, and office relocations, ensuring alignment with timelines and budgets.
  • Track project milestones, vendor performance, and costs; maintain dashboards and prepare executive-level updates as required.
  • Partner with cross-functional teams including HR, IT, Security, Real Estate, and Facilities to ensure seamless project execution and business continuity.
  • Perform additional duties as assigned to meet evolving business needs and organizational priorities.
Required Experience
  • Minimum of 5 years of experience in facilities planning, space optimization, workplace strategy, or related project management roles.
  • Demonstrated proficiency with space planning and workplace management tools such as OfficeSpace, Serraview, FM:Systems, AutoCAD, or other Integrated Workplace Management Systems (IWMS).
  • Experience supporting hybrid workplace models and/or managing space planning initiatives across multiple locations or a distributed portfolio.
  • Strong communication, organizational, and analytical skills, with the ability to translate data into actionable workplace and real estate insights.
Education
  • High school diploma or equivalent required.
Required Skills
  • Overtime required on an as-needed basis.
  • Travel up to 10-20% as required.
  • Must have reliable transportation and live within a commutable distance to one of the following locations:
    • Dallas, TX
    • Detroit, MI
    • Phoenix, AZ
    • Houston, TX
    • Atlanta, GA


Preferred Qualifications
  • Bachelor's degree in Facilities Management, Architecture, Interior Design, Construction Management, or a related discipline.
  • Professional certifications such as Certified Facility Manager (CFM), Project Management Professional (PMP), or equivalent preferred.
  • Familiarity with lease administration, move management, and facilities-related software systems.
  • Working knowledge of workplace wellness, sustainability, and employee experience principles.
  • Solid understanding of project management methodologies and tools, including Smartsheet, Asana, or Monday.com.
Physical Demands

While performing the duties of this role, the employee is regularly required to sit for extended periods and use office equipment including a keyboard, mouse, and telephone. Occasional reaching, stooping, standing, and walking may be required. The employee must be able to see, hear, speak, and communicate effectively and may occasionally lift and/or move up to 10 pounds.
Work Environment

The work environment is typically an office setting with a moderate noise level.
Work Schedule

This position requires flexibility to accommodate business needs. Typical hours are between 8:00 AM and 6:00 PM, Monday through Friday, with occasional weekend work as needed. Travel is required up to 20% of the time.
