ABOUT THE ROLE

Reporting to the Supervisor Workforce Planning, this position is responsible for providing support for projects or leading minor projects within the department, related to space accommodation. Coordinates and monitors the Department's space and accommodation processes. Acts as the primary contact for department space related planning and accommodation requirements or projects within the department and in coordination with Property Services and external partners. Monitors applicable budgets and conducts research and analysis to support various departmental space planning initiatives, where required.

WHAT YOU'LL BE DOING
  • Collaborates with internal partners and follows the corporate strategic leadership, planning and direction related to this function.
  • Provides space project management support and/or leads minor department projects as assigned. This includes the assessment of department space and accommodation requirements, conceptualizing, work planning, resourcing and evaluating various project needs.
  • Supports management by reporting on reporting on project KPI's, deliverables and deficiencies as needed.
  • Plans and schedules work, prepares cost information, and collaborates with a variety of cross functional teams to support the successful completion of activities.
  • As needed, prepares reports, proposals and gathers background material. Identifies, formulates and presents possible solutions.
  • Acts as the primary contact for departmental space related activities works in collaboration with other internal partners.
  • Assists in the integrated space planning process for the department and plans for short-term space planning in conjunction with management to ensure alignment to the budget process.
  • Completes activity-based work assessments to ensure spaces are sufficient to meet the needs of staff.
  • Reviews and converts technical design drawings into straightforward language for internal partners. Coordinates required approvals.
  • Meets with department management to determine future accommodation needs.
  • Reviews current department spaces for potential use and partners with Property Services to ensure optimal space utilization.
  • Updates and maintains facility portfolio information ensuring the information is accurate.
  • Prepares communications to staff and management regarding project status updates.
  • Provides guidance and direction to staff within the unit as it relates to space and accommodation.
  • Consolidates information for budget processes related to office accommodation and capital projects. Reviews and reconciles invoices for payment.
  • Responds to inquiries and requests for information from internal and external partners, and resolves concerns, as appropriate
  • Ensures that services provided meet Regional customer service standards.
  • Manages information in accordance with legislation and corporate standards.
  • Performs other duties as assigned, in accordance with Branch and Department objectives.

WHAT WE'RE LOOKING FOR
  • Successful completion of a Community College Diploma or approved equivalent combination of education and experience.
  • Minimum two (2) years related experience or equivalent accommodation planning experience with responsibilities for project coordination and monitoring.
  • Ability to demonstrate the Region's core competencies.
  • Advanced in MS Office Suite and use of virtual platforms. Proficiency in fundamentals of AutoCAD or related program experience. Ability to read floor plans and have knowledge of basic building codes.
  • Excellent interpersonal skills and ability to connect with a range of internal and external stakeholders while focusing on fostering collaborative work relationships.
  • Demonstrated presentation, communication, and organizational skills.
  • Ability to travel to offsite locations, as required.
  • Ability to work outside of regular business hours, as required.
  • Ability to lift objects and ability to withstand periods of standing.
  • Ability to work independently and with teams and ability to manage competing priorities.
