SITE OPERATIONS , SAFETY & EVENTS MANAGER

INVEST OTTAWA - AREA X.O

Invest Ottawa is seeking a Site Operations, Safety and Events Manager to ensure the safe, efficient, and effective operation of Area X.O's facilities. Reporting to the Director, Business Delivery and Operations, this role is central to keeping the site running smoothly - from day-to-day facility readiness and maintenance coordination to safety compliance and the successful delivery of tours, events, training sessions, and client activities. If you thrive in a hands-on, fast-paced environment where no two days look the same, this role is for you.

  • Corporate Pay Band D: $76,000-$114,000
  • Hiring Salary Range: $76,000 - $104,500
  • Reason for opening: Backfilling a Posiition
  • This position will be required to work onsite at Area X.O, 4-5 days per week


WHAT YOU WILL BE DOING
  • Manage day-to-day site operations, facility readiness, and maintenance coordination to ensure Area X.O remains safe, functional, and well-prepared for all activities.
  • Coordinate with vendors, contractors, clients, tenants, and internal stakeholders to support facility access, site logistics, and smooth operations.
  • Update and maintain the Safety Management Plan, coordinate with the Safety Office, and support all safety compliance activities across the site.
  • Oversee lease and property matters, manage tenant documentation including insurance certificates and contracts, and support overall operational readiness.
  • Update CRM systems with client, lead, and engagement data and support reporting related to operations, facilities usage, and client activity.
  • Identify opportunities for process improvement and contribute to the development of operational policies and procedures.
  • Maintain accurate asset tracking, tagging, and software license databases, and keep digital filing systems and SharePoint documentation organized and current.
  • Coordinate AV setups, meeting space preparation, barricade setup and removal, and technical requirements for events.
  • Manage procurement processes including collecting quotes, documenting approvals, generating purchase orders, and tracking shipments.
  • Organize and execute tours, demonstrations, testing activities, events, and training sessions, including signature programs such as Aerial Evolution, OVIN Pitch to Pilot, and Rodeo.


WHAT YOU HAVE ACCOMPLISHED/GAINED THROUGHOUT YOUR CAREER :
  • Bachelor's degree in Business Administration, Operations Management, or a related field.
  • Minimum of 3 to 5 years of experience in an operations, coordination, or strategic support role.
  • Strong organizational, analytical, and problem-solving skills with the ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft tools including SharePoint, Excel, PowerPoint, and CRM systems such as MS Dynamics 365.
  • Familiarity with facilities management, event coordination, and health and safety standards.
  • Access to a personal vehicle for occasional local travel.
  • Health and safety training or willingness to obtain certification is an asset.
  • Experience with procurement, vendor management, and invoicing processes.
  • Excellent interpersonal and communication skills with experience working across diverse stakeholder groups.
  • Minimum of 3 to 5 years of experience in an operations, coordination, or strategic support role.
