Position Summary
The Senior Writer provides correspondence management, writing, editing, and quality assurance support for a federal agency. This role ensures executive-level correspondence is accurate, timely, compliant with federal standards, and effectively supports communication between leadership, headquarters offices, area offices, and external stakeholders.

Key Responsibilities
- Draft, edit, review, and finalize executive correspondence, including letters, memoranda, emails, briefing materials, and official responses.
- Research and gather information from stakeholders to develop clear, accurate, and policy-compliant communications.
- Track and manage incoming and outgoing correspondence, ensuring timely action and response.
- Maintain correspondence databases, filing systems, and records in accordance with NARA and federal records management requirements.
- Review documents for grammar, style, formatting, consistency, and adherence to HHS/IHS standards.
- Develop and update Standard Operating Procedures (SOPs), templates, and correspondence guidelines.
- Coordinate with internal and external stakeholders to obtain information and resolve correspondence issues.
- Prepare daily, weekly, and monthly activity reports as required by leadership.
- Support quality control efforts to ensure correspondence products meet executive-level standards.
Required Skills/Abilities:
- Exceptional writing, editing, proofreading, and document review skills.
- Strong understanding of executive correspondence formats and federal communication standards.
- Ability to manage multiple assignments, deadlines, and priorities simultaneously.
- Proficiency with Microsoft Office Suite, SharePoint, Adobe Acrobat, Teams, and document management systems.
- Strong research, organizational, and stakeholder coordination skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Deliver accurate, high-quality correspondence within established timelines.
- Maintain regular communication with IHS leadership and stakeholders.
- Support 40-hour workweeks during core business hours (9:00 AM-5:30 PM EST).
- Ensure compliance with all applicable federal, privacy, and records management requirements.
Qualifications
- Required: Minimum four (4) years of related professional experience in writing, editing, communications, correspondence management, or a related field
- Required: Demonstrated ability to research, organize, write, edit, and produce high-quality documents.
- Required: Experience coordinating with internal and external stakeholders to develop and review content.
- Required: Strong skills in writing, editing, proofreading, and quality control. Ability to maintain confidentiality and handle sensitive information.
- Preferred: Experience supporting Federal Government, Tribal, or healthcare organizations.
- Preferred: Proficiency with Microsoft Office Suite, SharePoint, Teams, and Adobe Acrobat.
- Preferred: Knowledge of federal correspondence and records management practices
Physical Requirements:
- Prolonged periods of sitting and working at a computer.
- Ability to read, review, and edit electronic documents for extended periods.
- Ability to communicate effectively via phone, video conference, and email.
- Ability to operate standard office equipment and software.
