The role

The Senior Workplace Manager - San Francisco is responsible for leading workplace operations, flagship office delivery, employee experience and day-to-day service excellence across Nebius' San Francisco office and other US locations. As Nebius continues to scale, this role ensures our US workplaces operate as safe, high-performing and fully functional environments that support productivity, collaboration, employee well-being and business growth. Combining operational discipline with a strong hospitality mindset, the role sets the standard for a welcoming, high-quality workplace experience across every service touchpoint - from office arrival and reception to meeting rooms, events, food services, facilities, security and the moments in between.

We are opening our flagship US office in San Francisco, and this role will be a key driver of that project: a unique opportunity to shape a strategically important space and create a workplace that colleagues and visitors genuinely enjoy being part of.

As Nebius HQ is in Amsterdam (CET), this role requires flexibility for early morning meetings and close collaboration with global stakeholders.

Your responsibilities will include:
  • San Francisco Flagship Projects & Workplace Development
    • Own local workplace projects including office openings, fit-outs, moves, expansions and improvements, ensuring delivery is aligned with Nebius' global workplace strategy and standards.
    • Lead and coordinate the local project ecosystem, including project managers, brokers, lawyers, architects, landlords, vendors and Nebius stakeholders.
    • Contribute to workplace development initiatives including space planning, office activation, future workplace concepts and continuous improvement of the employee and visitor experience.
    • Bring an experience-first perspective to how spaces are designed, operated and activated, ensuring they are functional, welcoming and scalable as the business grows.
  • Workplace Operations & Facilities Management
    • Oversee the full workplace service ecosystem, including facilities, maintenance, cleaning, reception, catering, logistics, access control, furniture, equipment and vendor coordination.
    • Ensure reliable Hard FM operations, including technical infrastructure, maintenance and building systems, as the operational backbone that enables a consistently high-quality workplace experience.
    • Oversee Soft FM services with a hospitality lens, ensuring reception, catering, cleaning, logistics and day-to-day office services are delivered with consistency, care and genuine pride in service.
    • Own day-to-day space management, including space optimisation, seating plans, utilisation insights and workplace improvements.
    • Coordinate office infrastructure needs with IT, Security, Finance, Procurement and other cross-functional partners.
    • Support office expansions, space optimisation and workplace improvements across San Francisco and other US locations.
  • Safety, Security & Compliance
    • Ensure a safe, compliant and secure workplace through effective physical security, access control, incident management and operational readiness.
    • Maintain a welcoming environment while ensuring colleagues, visitors and assets are protected.
    • Partner closely with Security, IT, landlords and service providers to manage risks, resolve issues and maintain business continuity.
  • Service Experience, Events & Employee Experience
    • Set the standard for a high-quality colleague and visitor experience across the San Francisco office, ensuring the workplace feels safe, functional, engaging and easy to use.
    • Bring a hospitality mindset to every part of the workplace operation, ensuring colleagues and visitors feel welcomed, supported and in good hands.
    • Oversee the planning and execution of internal office events in San Francisco, partnering with stakeholders to create experiences that support culture, collaboration and engagement.
    • Identify and implement improvements to workplace engagement, service quality and employee satisfaction.
  • Leadership & Service Culture
    • Build, lead, coach and develop the workplace service model and team as the San Francisco office scales, across facilities, services and workplace experience.
    • Create a shared service culture where every team member and vendor partner understands the role they play in the colleague and visitor experience.
    • Provide clear direction, performance management and development opportunities for team members.
    • Ensure alignment with global workplace standards, initiatives and ways of working while adapting effectively to local business needs.
  • Stakeholder & Cross-Functional Collaboration
    • Work closely with HR, IT, Security, Finance, Procurement, local leadership and global Real Estate & Workplace teams.
    • Act as the workplace representative for San Francisco in cross-functional and global initiatives.
    • Provide clear updates, insights and recommendations to senior leadership.
    • Communicate proactively during workplace changes, disruptions and projects, keeping trust high and uncertainty low.
  • Vendor, Budget & Operational Excellence
    • Manage relationships with landlords, suppliers and service providers, holding partners to clear service levels and high standards.
    • Own and manage the San Francisco / US workplace budget, including forecasting, disciplined cost control, KPI tracking and reporting.
    • Track service performance, recurring issues, costs and KPIs, using insights to drive continuous improvement and scalable workplace standards.
    • Develop and improve operational processes to enhance efficiency, reliability and service quality as Nebius grows.

We expect you to have:
  • 7-10 years of experience in workplace operations, facilities management, office management, hospitality-led workplace services or similar environments.
  • Proven experience managing workplace operations in large offices or across multiple locations.
  • Strong leadership experience managing teams, vendors and complex workplace operations.
  • Solid knowledge of Hard FM, Soft FM, workplace services, events and security operations.
  • Strong vendor management, contract management and stakeholder coordination experience.
  • Experience managing operational budgets, forecasting, KPI tracking and reporting.
  • Excellent communication skills in English, with the ability to build trust at all levels of the organisation.
  • Calm, decisive and confident in complex or high-pressure situations.

It will be an added bonus if you have:
  • Experience in hospitality-driven, premium corporate or service-oriented environments.
  • Experience supporting office growth, scaling, flagship openings or workplace transformation initiatives.
  • Experience in tech and/or hypergrowth companies.
  • Familiarity with facility management systems, Slack and Microsoft 365.
  • Bachelor's or Master's degree in facility management, hospitality management, business administration, engineering or a related field.


Pay Transparency

We offer competitive compensation and benefits packages. Actual compensation will be determined based on job-related factors, including experience, skills, qualifications, the level at which the candidate is hired, and geographic location, consistent with applicable law.

Base Compensation Range

$107,000-$133,000 USD
