Full Job Description
Senior Specialist, Programs and Engagement will serve as a key contributor within the Health Care Affairs (HCA) cluster, reporting directly to the Senior Director of Programs and Engagement and working closely with leaders across CAHSE, AAHCI, ACOL, and ORR, as well as the Chief Health Care Officer. The position operates in a fast-paced environment, leading and coordinating complex domestic and international member engagement initiatives with a high degree of independence. The individual regularly partners with governance and executive-level stakeholders, including the CAHSE and ORR Administrative Boards and the AAHCI Steering Committee. Key responsibilities include strengthening mission-critical member management activities, developing and executing engagement strategies for C-suite executives and physician leaders, and fostering collaboration across multiple HCA programs and AAMC clusters to advance organizational goals and member value. How you will make an impact? Constituent Group Management and Engagement: - Participates in the development and implementation of the AAMC's CAHSE, AAHCI, ORR, and ACOL member engagement strategies and events. - Coordinates the operations and administrative work of the CAHSE and ORR Administrative Boards in support of AAMC governance. - Documents key work processes and assures they are regularly updated so that others may access and utilize them if necessary. 1. Administrative Board/Steering Committee Work: - In support of CAHSE, AAHCI, and ORR, the HCA leads, and their Administrative Boards/Steering Committees, takes the lead in coordinating all related operational and administrative work, such as: A. Regular updating of board/committee member data. B. Meeting logistics, speaker preparation, meeting materials, notes or minutes, and related follow-up. Assures internally and externally facing quality control. C. Nominating committee logistics and board/committee elections. D. Other special projects. May request support from the lead administrative associate or others, as appropriate and needed 2. Meetings and Engagement Activities: - In collaboration with the relevant HCA leads (and in partnership with other clusters, constituents, meeting planners, external collaborators, etc), plans and implements a variety of in-person and virtual meetings, engagement activities, and other events for CAHSE, AAHCI, ACOL, and ORR. - Examples include, but are not limited to, annual professional development conferences and meetings, leadership development programming, service awards, and special/sponsored events. - Leads or works on all aspects, including session content, speakers, meeting site logistics, meeting materials, and event promotions. Many meetings focus on building cross-cluster and cross-council collaborations (eg, with OGR and COD), as well as the AAMC's organizational goal of building member engagement. Relationship Management: - Member Recruitment: - Works with the CAHSE, ORR, and AAHCI teams to prepare, implement, and routinely evaluate/refine member recruitment, retention, and onboarding strategies and processes, such as: A. Standard communications, presentations, and other deliverables. B. Plans for triaging relevant requests to the Member Services, Constituent Engagement, and elsewhere across the AAMC. - CAHSE Membership Applications: Primary point of contact for all aspects of membership (initial inquiries, application process, review/approval by CAHSE Board and AAMC Board, and onboarding) - CAHSE Non-Human Mailbox: Regularly reviews and triages incoming messages to the appropriate staff; tracks responses to assure appropriate follow-up. - CAHSE Quarterly Pulse: Works with the CAHSE Senior Director and Communications Portfolio Director to: A. Prepare and deliver the quarterly newsletter for CAHSE CEOs. B. Compile and track CEO utilization data overtime. Regularly make the trend data available to the CAHSE team in an easily accessible and viewable Teams folder. - CAHSE Email List Management: In support of CAHSE engagement strategies and operations, flag and track incorrect/incomplete data found in the various CAHSE email lists that requires follow-up by the Lead Administrative Associate. ORR Expenses and Budgeting: 1. ORR Member Expenses: - Works with the ORR Constituent Engagement Leader in advance of the ORR Spring Conference and LSL to provide ORR members with the budgetary and policy knowledge/tools required to be good financial stewards (since their travel expenses are covered by the AAMC). - Customizes the ORR travel reimbursement forms and processes to encourage good financial stewardship, based on the unique factors of each meeting. 2. Inform/Enhance HCA Annual Budget: - Informs and enhances HCA's annual budget process by categorizing and tracking ORR expenses related to the ORR Spring Conference and ORR participation at LSL. A. Regularly reviews travel expense data with the ORR Constituent Engagement Leader during the expense report submission period to assure constituent compliance and flag unanticipated expenditures. B. For both meetings, summarizes for the Senior Director total constituent travel expenditures by expense type to inform the annual budgeting process. C. Summarizes LSL catering and related ORR meeting expenses by date and session for the Senior Director to inform the annual budgeting process What you will bring to the role? Required Qualifications: - Bachelor's Degree required (Business specialty is preferred) - 5 - 7 years of related work experience - At least 1 year experience in working in the field of academic medicine or teaching hospitals (2-3 years preferred) Remote Work Eligibility This is a remote-eligible position at AAMC. Candidates may reside anywhere within the contiguous United States, excluding California, Massachusetts, New York, and Oregon. Compensation Grade Range $88,740.00-$104,400.00 Multiple factors are taken into consideration to arrive at the final hourly rate/annual salary to be offered to the selected candidate. Factors may include, but are not limited to, the scope and responsibilities of the role, the selected candidate's work experience, education and training, as well as internal equity, market, and business considerations. If a bachelor's degree is required, related work experience may be substituted in some positions.
