Senior Payroll Specialist

Location: 5580 Explorer Drive, Mississauga, ON (Hybrid)
Schedule: Monday to Friday, 9:00 AM - 5:00 PM
Salary: $80,000 - $81,885 annually
Reports To: Sr. Manager, Payroll and Benefits

Position Summary

The Senior Payroll Specialist is responsible for the accurate and timely processing of multi-divisional, multi-provincial payrolls across Canada. This role is critical in ensuring payroll integrity through detailed general ledger (GL) reconciliations, statutory remittances, and union benefit contributions.

Partnering closely with Finance, this position supports month-end close, audit readiness, and financial reporting accuracy. As a senior member of the team, the role also provides guidance, training, and mentorship to other payroll team members. The ideal candidate brings strong analytical capabilities, exceptional attention to detail, and the ability to manage confidential information while meeting tight deadlines. There are no direct reports.

Key Responsibilities
  • Process and support full-cycle payroll for multiple divisions across Canada (bi-weekly and monthly) in compliance with federal and provincial legislation
  • Perform detailed payroll general ledger (GL) reconciliations; investigate and resolve discrepancies in partnership with Finance
  • Manage, reconcile, and submit union dues and benefit plan contributions, including pensions and related remittances
  • Ensure compliance with Canada Revenue Agency (CRA) requirements and all applicable provincial labour standards
  • Prepare and process year-end activities, including T4s, T4As, T2200s, and Records of Employment (ROEs)
  • Administer payroll deductions including benefits, pensions, and garnishments (e.g., tax levies, child support)
  • Support month-end close processes, including payroll accruals and journal entries
  • Investigate and resolve payroll discrepancies; respond to employee and manager inquiries in a timely manner
  • Maintain accurate and up-to-date payroll records in systems such as ADP and WinTeam
  • Respond to government agency requests and manage payroll-related notices and reconciliations
  • Support internal and external audits by preparing payroll data, reports, and documentation
  • Identify and implement opportunities to improve payroll processes, automation, and reporting accuracy
  • Provide training, guidance, and mentorship to payroll team members to support team development and consistency


Qualifications

Education & Certification
  • High school diploma or equivalent required
  • PCP (Payroll Compliance Practitioner) designation from the National Payroll Institute (NPI), or working toward PCP, is an asset
  • Post-secondary education in Accounting, Finance, or a related field is preferred


Experience
  • Minimum of 3 years of experience supporting multi-provincial Canadian payroll
  • 5+ years of progressive, senior-level payroll experience
  • Experience managing payroll across multiple business units or divisions
  • Strong experience with payroll GL reconciliation and finance-related payroll functions
  • Experience processing union payrolls and benefit remittances is highly preferred
  • Experience with payroll systems such as ADP, Ceridian, or Payworks


Knowledge & Skills
  • In-depth knowledge of Canadian payroll legislation, CRA regulations, and provincial standards
  • Excellent analytical skills with a strong focus on detail, accuracy, and reconciliation
  • Exceptional attention to detail with the ability to consistently meet tight deadlines
  • Proven ability to handle highly confidential information with integrity and discretion
  • Advanced Microsoft Excel skills (e.g., VLOOKUPs, pivot tables, data analysis)
  • Strong problem-solving and organizational skills
  • Excellent communication and interpersonal skills, with the ability to collaborate across departments
  • Ability to prioritize work effectively in a fast-paced, deadline-driven environment
