Senior Paralegal - Office of the General CounselPosition SummaryThe Senior Paralegal reports directly to Shield's General Counsel and supports the Office of General Counsel on litigation and arbitration matters pending in multiple state and federal jurisdictions, the insurance aspects of claims and litigation, and the management of Shield's multi-state entity portfolio. This role manages case deadlines and document-intensive discovery, coordinates with insurance carriers, brokers, adjusters, and external counsel, maintains entity records and compliance, and serves as gatekeeper to counsel to ensure matters are resolved efficiently and escalated appropriately. This is a hybrid position requiring in-office attendance a minimum of two days per week at Shield's Gilbert, AZ headquarters.
Responsibilities- Support litigation and arbitration matters pending in multiple state and federal jurisdictions and before arbitral forums (e.g., AAA), including pleadings, discovery, legal holds, document management, document production, and motion, hearing, and trial preparation.
- Track and apply jurisdiction-specific rules of procedure, local rules, filing requirements, and e-filing systems, and ensure all filing, response, and hearing deadlines are docketed/calendared.
- Manage the insurance aspects of claims and litigation, including tendering claims and notices to carriers, tracking reservation-of-rights and coverage correspondence, coordinating with brokers, adjusters, and coverage/defense counsel, and maintaining policy and certificate-of-insurance records.
- Maintain the company's multi-state entity portfolio, including formations, foreign qualifications, annual reports, registered agent and service-of-process matters, ownership/officer/member records, resolutions and consents, and certificates of good standing.
- Supervise and regularly audit the Legal Assistant to ensure documents are properly labeled/filed and responsive deadlines are docketed/calendared.
- Conduct legal research and draft memoranda with citations to applicable law for attorney review.
- Manage internal stakeholders and external counsel toward case, claim, and entity compliance goals, including tracking matter status, budgets, and invoices utilizing spreadsheets.
- Serve as gatekeeper to counsel, ensuring that all matters appropriate for legal assistant and/or paralegal handling are resolved competently, and that those requiring counsel are prioritized appropriately.
- Assist General Counsel with administrative tasks such as maintaining Arizona Bar requirements (including CLE tracking), travel arrangements, etc.
Key Skills- Multi-Jurisdictional Litigation: working knowledge of state and federal rules of civil procedure, local rules, and arbitration rules, including the ability to manage concurrent deadlines across courts and forums and experience preparing filings, discovery, and hearing/trial materials.
- Insurance & Claims Management: understanding of commercial policy structures (e.g., general liability, auto, professional liability, umbrella/excess), notice and tender requirements, reservation-of-rights letters, and the relationship among insured, carrier, and defense counsel.
- Entity Management: experience maintaining entity records and minute books, preparing resolutions and written consents, and managing annual report and registered agent compliance across states through Secretary of State portals and/or entity management software.
- Document Management & Production: a successful track record of managing large document databases and productions using tools such as Clio, familiarity with subpoena rules, related objections, and legal holds, and experience with privilege reviews/logs.
- Legal Research & Writing: ability to review claim files, contracts, and case records, distill and summarize material facts, perform legal research, and produce legal memoranda with proper citations.
- Technical Proficiency: strong proficiency in the Microsoft Office Suite, with advanced Excel skills (data analysis and spreadsheet management) for tracking litigation matters, insurance claims, entity compliance, and document production strongly preferred.
Qualifications and Requirements - Paralegal Certification (required).
- Minimum of 5+ years as a paralegal supporting litigation and/or arbitration in multiple state and federal jurisdictions, in a corporate or law firm environment.
- Demonstrated experience with insurance claims, coverage, and carrier communications (insurance defense, coverage, or in-house risk management experience preferred).
- Demonstrated experience with corporate entity management and compliance for entities registered in multiple states.
- Proficient in Microsoft Office Suite (advanced Excel).
- Experienced in Document Management Systems (e.g., Clio) and state and federal e-filing systems (e.g., PACER/CM-ECF).
- Skilled in legal research and writing, with expertise in drafting and analyzing legal documents.
- Highly organized, detail-oriented, self-motivated, and resilient, with strong critical-thinking skills and the ability to prioritize competing deadlines in a fast-paced environment.

Base pay is one part of our total compensation package and is determined within a range. This provides the opportunity to progress as you grow and develop within a role. The base pay for this role is between $95,000 and $105,000. Your base pay will depend on multiple individualized factors, including your job-related knowledge/skills, qualifications, experience, and market location.
