Job Summary and Characteristics: The Senior Operations Manager serves as a key operational leader within the Finance department, driving efficiency, accuracy, and continuous improvement across financial operations. Working at the intersection of accounting, payroll, grants, systems, and process improvement, this role ensures seamless coordination between functions while developing scalable solutions that strengthen internal controls and support organizational growth.
The successful individual combines strong accounting knowledge with systems expertise and process improvement skills. They are highly organized, analytical, collaborative, and comfortable leading projects that improve operational effectiveness across the department.
Duties and responsibilities to include, but not limited to: Internal Controls & Month-End Close (Approximately 50%)- Review, reconcile, and post payroll and related journal entries.
- Prepare and review monthly account reconciliations to ensure completeness and accuracy.
- Reconcile and allocate employee health benefit expenses.
- Prepare grant allocation journal entries and supporting documentation.
- Calculate and record workers' compensation accruals and allocations.
- Maintain and validate statistical data used for financial reporting, allocations, and operational metrics.
- Assist in maintaining strong internal controls and standardized accounting procedures.
- Support the month-end and year-end close processes through timely preparation of assigned reconciliations, analyses, and journal entries.
Systems Development & Process Improvement (Approximately 30%)- Evaluate existing financial systems and workflows to identify opportunities for increased efficiency, automation, and improved internal controls.
- Partner with accounting, payroll, grants, human resources, and operations staff to understand business needs and implement practical system enhancements.
- Develop, document, and improve finance department processes and standard operating procedures.
- Manage implementation, testing, maintenance, and optimization of financial and operational systems.
Strategic Initiatives & Special Projects (Approximately 15%)- Partner with the Chief Financial Officer to design, implement, and improve financial systems, operational processes, and reporting tools.
- Lead or support system implementation and enhancement projects, including Sage Intacct, ADP, Salesforce, and related platforms.
- Coordinate cross-functional projects that improve data integrity, operational efficiency, and reporting capabilities.
General Responsibilities (Approximately 5%)- Provide operational support across the Finance department as needed.
- Participate in departmental planning, training, and continuous improvement initiatives.
- Perform other duties as assigned.
Job Skills & Qualifications:- Bachelor's degree preferred.
- Minimum of 2 years of progressively responsible experience in finance, accounting, or finance operations.
- Minimum of 2 years of grant accounting experience, including managing funder expectations.
- Experience with ERP systems (preferably Sage Intacct).
- Experience with payroll systems (ADP preferred).
- Experience with cross- functional project management.
- Demonstrated understanding of underlying mechanics at play in an allocation system.
- Strong foundation of operations and grant accounting.
- Advanced Excel skills.
- Strong analytical, organizational, and project management skills.
- Experience improving business processes and implementing systems.
- Ability to communicate effectively across technical and non-technical teams.
