Purpose:
• Take full ownership of operational support for the Multi-Asset Management (MAM) team's investment management activities;
• Ensure portfolio management activities run smoothly for the MAM team;
• Ensure accuracy of investment data information provided to portfolio managers, traders, and compliance teams;
• Plan and manage a wide variety of projects and initiatives to continuously improve operations and/or support regulatory and bank initiatives;
• Oversee and coordinate operational activities including but not limited to trade execution/settlements, derivatives related activities, and private asset operational workflows. This includes being the key liaison between internal and external partners for operational activities;
• Assist in the preparation of investment reporting for internal and external stakeholders.

Is this role right for you? In this role, you will:
• Act as the Subject Matter Expert (SME) for operational related activities impacting the MAM team;
• Collaboration with the following internal and external teams will be required, but not limited to: Trading, Portfolio Administration, Compliance, Investment Oversight, Risk Management, IT, Legal, Tax, AML, Marketing, and external managers and service providers;
• Assist the MAM team with derivative-related operational processes related to futures, forwards, roll activities, and settlement coordination;
• Investigate and help resolve breaks, exceptions, and data issues to ensure an accurate investment book of record;
• Support MAM team by helping ensure operational readiness for rebalances, subscriptions, redemptions, capital calls for private asset mandates, cash movements, mandate changes, and related implementation activities;
• Coordinate private asset activities capital call and distribution activity, including downloading and organizing documents, coordinating order entry, and supporting Portfolio Managers with implementation items such as proposed trades and hedges resulting from cash activity;
• Support and coordinate onboarding and subscription processes for new private asset funds, including completing or assistance in documentation and coordination with AML, Tax, Legal, and other internal stakeholders;
• Maintain and coordinate access to investor portals, including access required by groups outside Multi-Asset Management;
• Prepare and maintain recurring investment reporting for boards, committees, internal oversight groups, and regulatory purposes, ensuring outputs are accurate, timely, and well controlled;
• Coordinate with GPs and Marketing to produce quarterly reporting for Scotia evergreen funds, including Scotia McLeod reporting requirements, as well as MD Platinum products;
• Prepare quarterly reporting materials for SGAM leadership summarizing new private asset commitments;
• Assist in the preparation of materials for investment committees and governance forums by gathering portfolio information, validating inputs, and coordinating reporting timelines;
• Document and maintain procedures, controls, recurring tasks, and issue-resolution processes to support a stable and scalable operating environment;
• Continuously drive and contribute to ongoing process improvements that enhance reliability, efficiency, control, and service quality across MAM related investment management activities;
• Keep abreast of knowledge in capital markets and mutual fund industry (NI 81-102 and IFIC) to ensure policies and procedures are aligned and in accordance with industry and regulatory standards;
• Contribute to Portfolio Administration's Business Continuity Plan (BCP).

Do you have the skills that will enable you to succeed in this role? - We'd love to work with you if you have:
• 5+ years of relevant experience in portfolio administration, investment operations, fund operations, trade support, private asset operations, or a related asset management environment.
• Undergraduate degree in finance, accounting, business, economics, or a related discipline.
• Progress toward, or completion of, an industry designation such as CSC, CFA, or CPA is considered an asset but is not required.
• Experience working with multi-asset portfolios, custodians, settlements, derivatives operations, private assets, investor reporting, or order management systems such as CRD is beneficial.
• Knowledge and experience in mutual fund accounting principles, capital markets and various fund structures is an asset
• Strong interpersonal and communication skills, both written & verbal
• Highly proficient with Microsoft office, such as outlook, excel, and word
• Knowledge of investment management systems Charles River, Simcorp and Bloomberg is an asset.
• Strong leadership skills with proven ability to lead and motivate a team of SMEs

Key Competencies
• Strong understanding of portfolio administration and investment operations processes, including trade settlement oversight, cash monitoring, workflow control, and operational reporting.
• Strong attention to detail and a high degree of accuracy in monitoring, processing, and reporting activities.
• Good working knowledge of Excel and familiarity with investment systems, order management platforms, custodian reporting, Bloomberg, CRD, Simcorp, or similar tools; advanced quantitative modeling expertise is not required.
• Strong time and project management skills with the ability to multi-task between daily and project related activities, and spearhead issues through to resolution.
• Excellent problem-solving & decision-making skills
• Clear written and verbal communication skills, with the ability to effectively coordinate operations, trading, compliance, finance, legal, tax, marketing, and portfolio management teams.
• Practical problem-solving ability and a service-oriented mindset, with a focus on maintaining dependable daily processes.
• High standards of professionalism, integrity, and accountability in a controlled environment where timeliness, accuracy, and escalation discipline are critical.
• Ability to work well under pressure in a fast-paced environment.
