Purpose

As a member of the college's HR team, the Faculty Affairs and Academic Personnel Manager manages faculty affairs and academic administrative and professional (A&P) position processes across the employee lifecycle, with primary responsibility for professional-track faculty (PTF) and related academic appointments. This position provides operational oversight, process coordination, records management, and policy guidance for several academic HR functions, including PTF contracts, faculty sick leave and absence administration, and summer jobs. Works closely with college leadership, department administrators, HR partners, and central offices to ensure timely processing, compliance, and accurate personnel records.

Essential Duties and Responsibilities
  • Manage 9-month and 12-month professional-track faculty (PTF) appointments and academic A&P appointments, including hiring, contracts, renewals, and related personnel actions.
  • Coordinate or support special appointment processes, including ROTC, emeritus, and faculty administrative appointments, such as chairs, directors, and associate deans.
  • Oversee academic personnel workflows for postdoctoral scholars, research scientists, and other academic A&P positions.
  • Administer and coordinate summer faculty job processes for the college.
  • Support faculty sick leave and processes connected to personal leave without pay, including reporting and compliance requirements, including those connected to FMLA, and Workday timekeeping and absence processes, in compliance with university policies and procedures.
  • Coordinate and oversee approval workflows for instructional overload forms, academic additional employment forms, and related personnel transactions.
  • Maintain personnel records related to position responsibilities and support the college-level records management, file retention, and documentation standards.
  • Collaborate with college and department stakeholders to clarify roles, responsibilities, and process ownership.
  • Develop and maintain procedural guidance and process documentation for the functions managed by this position.


Required Qualifications
  • Bachelor's degree
  • At least 5 years of supervisory experience and training in management.
  • Relevant experience in faculty affairs, academic personnel, human resources, or higher education administration.
  • Experience managing complex personnel processes, approvals, and records with accuracy and attention to detail.
  • Knowledge of policy interpretation, compliance requirements, and confidential records management.
  • Demonstrated ability to manage multiple priorities, meet deadlines, and work effectively with diverse stakeholders.
  • Excellent written, verbal, organizational, and problem-solving skills.


Preferred Qualifications
  • Experience supporting professional-track faculty and other academic appointments in a higher education environment.
  • Experience with faculty contract administration, renewals, absence processes, and appointment tracking.
  • Experience coordinating postdoctoral scholar, research-related, and other academic A&P actions.
  • Experience with records management, file retention, and process documentation.
  • Experience working with college leadership, department administrators, and central administrative offices.
  • Familiarity with HR, payroll, and academic personnel systems used in a university setting.

Salary Range

$80,000 + depending on qualifications
