Full Job Description
The Inventory Control Specialist is responsible for maintaining the integrity, accuracy, and compliance of inventory across a global distribution network supporting a medical device manufacturing organization. This position ensures accurate inventory transactions within the QAD ERP system, drives inventory accuracy initiatives, supports regulatory compliance requirements, investigates inventory discrepancies, and partners with Manufacturing, Quality, Planning, Logistics, Finance, and Distribution Center teams to optimize inventory performance.

What Your Day-To-Day Will Involve:

Inventory Accuracy & Control
  • Maintain inventory accuracy across multiple global distribution centers and manufacturing locations.
  • Monitor inventory transactions to ensure timely and accurate execution within QAD ERP.
  • Analyze inventory variances and identify root causes.
  • Investigate inventory discrepancies including shortages, overages, negative inventory, and inventory adjustments.
  • Ensure inventory movements comply with approved procedures and internal controls.
  • Review and reconcile inventory balances between physical inventory and ERP records.
  • Coordinate disposition of inventory discrepancies with Quality and Operations.


Cycle Count Program Management
  • Coordinate and administer cycle counting programs across all global distribution locations.
  • Develop cycle count schedules based on ABC inventory classifications and business risk.
  • Review count results and approve inventory adjustments where appropriate.
  • Identify recurring inventory issues and implement corrective actions.
  • Monitor cycle count compliance and inventory accuracy KPIs.


ERP System Management (QAD)
  • Execute and monitor inventory transactions within the QAD ERP system.
  • Ensure accurate processing of:
    • Inventory transfers
    • Receipts
    • Shipments
    • Adjustments
    • Returns
    • Lot-controlled transactions
    • Serialized inventory transactions
  • Support ERP master data integrity related to inventory locations, item status, lot control, and warehouse parameters.
  • Assist with QAD system enhancements, testing, and process improvements.


Global Distribution Support
  • Support inventory activities across five or more global distribution points.
  • Coordinate inventory transfers between regional warehouses.
  • Monitor inventory aging and slow-moving inventory.
  • Assist with inventory balancing initiatives across global locations.
  • Support inventory planning to minimize stockouts while reducing excess inventory.


Compliance & Quality
  • Ensure inventory control activities comply with:
    • FDA Quality System Regulation (21 CFR Part 820)
    • ISO 13485
    • SOX requirements
    • Internal Quality Management System
  • Support internal and external audits.
  • Maintain complete documentation supporting inventory adjustments.
  • Participate in CAPA investigations involving inventory issues.
  • Ensure traceability requirements for lot-controlled and serialized products are maintained.
  • Maintain trained status for, and comply with, all relevant aspects of the PROCEPT BioRobotics Quality Management System to ensure product and support regulatory compliance


Reporting & Analysis
  • Develop and maintain inventory performance dashboards.
  • Analyze inventory trends including:
    • Inventory accuracy
    • Inventory turns
    • Obsolescence
    • Slow-moving inventory
    • Cycle count performance
    • Adjustment trends
  • Prepare monthly inventory reports for Supply Chain leadership.
  • Recommend process improvements based on data analysis.

The Qualifications We Need You to Possess
  • Bachelor's degree or equivalent work experience.
  • Minimum 7 years of inventory control experience within a manufacturing and global distribution environment.
  • Minimum 5 years supporting ERP systems, preferably QAD.
  • Experience supporting multiple warehouses or distribution locations.
  • Experience within FDA-regulated or medical device manufacturing preferred.
  • Strong understanding of inventory accounting principles.
  • Experience with lot-controlled and serialized inventory.
  • Strong knowledge of inventory management principles.
  • Advanced analytical and problem-solving skills.
  • Excellent understanding of ERP inventory transactions.
  • Working knowledge of inventory reconciliation processes.
  • Strong Microsoft Excel skills, including PivotTables, VLOOKUP/XLOOKUP, Power Query, and data analysis.
  • Ability to analyze large data sets.
  • Knowledge of cycle counting methodologies.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to influence cross-functional teams without direct authority.
  • Ability to manage multiple priorities in a fast-paced environment.
  • High attention to detail and commitment to data accuracy.

Pay Range for this role:
$105,660 to $124,305
