The Senior Executive Assistant will serve as a trusted strategic partner to a C-Level executive, managing priorities, protecting time, anticipating needs, and ensuring seamless execution across key business activities.

Job Responsibilities:• Serve as a trusted strategic partner by understanding executive and business priorities, anticipating needs, driving follow-through, and keeping key workstreams moving forward.
• Manage a highly complex executive calendar, prioritize requests, protect focus time, and ensure the executive's schedule reflects the highest-value use of time.
• Exercise sound judgment to resolve routine matters independently, prioritize incoming needs, and escalate only items requiring executive attention.
• Coordinate complex domestic executive travel, including aviation, accommodations, ground transportation, itineraries, dining, and contingency planning.
• Prepare briefing materials, presentations, agendas, meeting notes, action items, and research to ensure the executive is well prepared.
• Manage confidential communications, correspondence, records, files, and sensitive business or personal information with professionalism and discretion.
• Serve as liaison to senior leaders, board members, investors, government officials, advisors, external partners, employees, and guests while representing the Executive Office professionally.
• Plan and execute executive meetings, leadership meetings, board meetings, business lunches, off-sites, executive dinners, employee engagement initiatives, company events, and other high-profile engagements.
• Process expenses, invoices, reimbursements, executive purchasing, and corporate card reconciliations accurately and on time.
• Improve Executive Office processes, documentation, and administrative workflows to increase efficiency, consistency, and service quality.
• Anticipate challenges, solve problems proactively, and execute with minimal direction in a fast-paced environment.
• Partner with fellow Executive Assistants and Executive Office leadership to ensure seamless collaboration, consistent support, and operational excellence.
• Support day-to-day Executive Office operations, including mail and deliveries, executive offices, conference rooms, kitchens, hospitality spaces, inventory, visitor welcome, and workplace presentation.
Preferred Qualifications:- 10+ years of Executive Assistant experience supporting C-level executives within a high-performance organization.
• Demonstrated experience supporting executives who regularly interact with board members, investors, government officials, or other senior external stakeholders.
• Demonstrated ability to anticipate executive needs, operate with minimal direction, and maintain composure while managing multiple competing priorities in a fast-paced environment.
• Proven ability to manage highly complex executive calendars while exercising exceptional judgment and discretion.
• Experience coordinating complex executive travel, high-profile meetings, and executive events with a white-glove service mindset.
• Experience coordinating private or corporate aviation travel is strongly preferred.
• Familiarity with private aviation scheduling, FBO coordination, and executive travel logistics is a plus.
• Exceptional organizational, project management, and communication skills with outstanding attention to detail.
• Demonstrated ability to manage highly confidential business and personal information with professionalism and integrity.
• Advanced proficiency in Microsoft Office 365, Outlook, Teams, PowerPoint, Excel, and modern collaboration tools.
Baseline RequirementsEducation, Professional Certification, and Licenses:
• Bachelor's degree preferred or equivalent professional experience
Experience:
• 10+ years of Executive Assistant experience supporting C-level executive leadership within a fast-paced executive office or professional environment recognized for its complexity and exceptionally high standards of execution
• Experience managing complex executive calendars with competing priorities
• Experience within private equity, investment management, financial services, consulting, leading law firms, Fortune 500 companies, family offices, or similarly high-performing organizations is strongly preferred.
Travel and Schedule
:• Full-time, in-office (5 days/week)
• Flexibility to occasionally work outside of standard business hours to support executive priorities, meetings, travel, or special events.
