In this vital role, you will providing administrative and operational support to Vice Presidents and Executive Directors of Finance. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, global environment. The Senior Executive Assistant serves as a key enabler to optimize the executive's time and effectiveness. The role requires excellent judgment, discretion, and the ability to manage multiple priorities with efficiency and tact.
Key Responsibilities:Executive Support- Maintain confidentiality and manage sensitive information with the utmost discretion.
- Manage and prioritize complex calendar and meeting schedules across global time zones.
- Coordinate domestic and international travel logistics, including itineraries, accommodations, and expense reports.
- Prepare and process expense reports in accordance with company policy.
- Support meeting logistics (onsite/virtual), agenda coordination, and meeting notes when needed.
- Serve as gatekeeper and point of contact between the VP and internal/external stakeholders.
Communication & Coordination- Draft and proofread emails, internal memos, and presentations.
- Maintain regular communication with internal stakeholders, managing follow-ups and flagging action items.
- Support the preparation of materials for internal meetings, business reviews, and team engagements.
- Prepare, proofread, and format high-quality communications, presentations, and documents.
- Liaise with cross-functional partners, executive assistants, and global teams to align schedules and workflows.
- Help facilitate team communications and reinforce priorities and expectations.
Administrative Excellence- Maintain accurate and organized documentation, including shared drives, policies, and meeting archives.
- Help coordinate onboarding/offboarding of leadership team members in partnership with HR and IT.
- Track recurring reports, timelines, or deliverables for visibility and reminders.
- Order supplies, manage subscriptions or licenses, and support basic budget tracking for the function if required.
- Process invoices, vendor paperwork, or budget tracking as needed.
- Anticipate the needs of the VP and help remove administrative roadblocks proactively.

Basic Qualifications:Associate's degree and 4 years of administrative experience
OR
High school diploma / GED and 6 years of administrative experience
Preferred Qualifications:- Associate degree or equivalent experience preferred.
- Minimum 3-5 years of experience in an executive assistant, coordinator, or administrative role, preferably supporting senior leaders.
- Strong proficiency in Microsoft Outlook, Word, PowerPoint, Excel; experience with collaboration tools (e.g., Teams, SharePoint, Concur). Experience in Microsoft Co-Pilot preferred, not required.
- Excellent communication, organizational, and time management skills.
- High level of discretion and professionalism in handling confidential information.
- Ability to work independently, take initiative, and anticipate needs.
- Highly organized with the ability to prioritize and manage multiple responsibilities.
- Proven ability to handle confidential information with integrity.
- Strong interpersonal skills, emotional intelligence, and professional presence.
- Experience working in a global or matrixed corporate environment.
- Comfort navigating ambiguity and anticipating needs in a fast-paced setting.
- Calm under pressure, flexible, and proactive in approach.
- A collaborative, can-do mindset with a continuous improvement orientation

The expected annual salary range for this role in the U.S. (excluding Puerto Rico) is posted. Actual salary will vary based on several factors including but not limited to, relevant skills, experience, and qualifications.
