Ensuring smooth and secure real estate closings for all involved in the transaction.

This position is fully in office Monday-Friday in Pleasanton, CA.

Job Summary

Senior Escrow Officers oversee and manage escrow processes for the closings of real estate transactions. They play a pivotal role coordinating with various stakeholders including homebuyer, seller, mortgage, accounting and other areas within the Title & Settlement Process. They leverage their expertise in escrow procedures and industry regulations, navigate complex transactions, uphold compliance standards and serve as mentors to fellow branch employees.

Primary Responsibilities

  • Handle all aspects of the settlement transactions including preparation and approval of Settlement Statements, preparation and coordination of deeds, verify accuracy of loan documents, insurance documentation, seller statements, and contract or sales agreement.

  • Obtain signatures for closing transactions, explain all documents executed as needed, and facilitate questions/answers between parties to the transaction.

  • Follow Escrow Accounting Business Practice Guidelines which includes but is not limited to collection and disbursement of funds while complying with required State and Federal Good Funds statutes. 

  • Review escrow quality assurance reports and resolve any outstanding issues to ensure compliance with required business policy.

  • Ensure timely and accurate flow of information and documentation from settlement team to Recording and Accounting departments.

  • Provide mentorship and guidance to junior staff.

  • Expected to manage a higher volume of closings compared to Escrow Officers, ensuring efficiency and accuracy in processing transactions.

  • Ensure adherence to workflow processes.

  • Perform other duties as assigned.

  • Physical Requirements: Ability to exert minimal force of 25 pounds to carry, lift, push, pull and otherwise move objects. On occasions, may have to lift and move objects up to 50 pounds.

Required Education

  • Minimum High School Diploma or equivalent

  • Minimum of 2-5 years Escrow Officer experience 

Required Licensing, Registration and/or Certifications

  • Licensing requirements as required by State/Federal Agencies

  • Notary Public license requirements as required by State

  • DFPI eligible

Required Skills/Knowledge

  • Customer service skills with experience engaging with diverse homebuyer demographics

  • Ability to multi-task and handle fast-paced and demanding work environment

  • Effective follow up skills and attention to detail

  • Ability to adjust well to change

  • Ability to collaborate effectively across dispersed teams in multiple locations.

  • Effective communication skills, both verbal and written

  • Ability to prioritize conflicting demands & meet department needs with available resources

  • Proficiency in Microsoft Office Suite required

  • Experience with OneNote and SoftPro is a plus

  • Demonstrates effective collaboration skills to promote teamwork and communication among various departments and stakeholders

  • Shows expertise, proficiency, and comprehensive understanding of title and escrow processes

  • Demonstrates proactive initiative and self-motivation to drive tasks and projects forward independently

  • Exhibits exceptional time management and prioritization skills to efficiently meet deadlines and optimize task workflows         

  • Resolve complex problems and execute complex transactions as needed

Additional Information

  • This position is office-based, requiring in-office attendance five days a week to foster team collaboration and ensure direct customer engagement

SALARY RANGE: Targeting around $51.78 hourly depending upon experience.
This position is also eligible for an annual bonus based on the successful completion of defined performance objectives.

Benefits: In addition to up to 9 paid company holidays per year, employees are eligible for up to 8 days of sick pay. Moreover, eligible employees with less than 10 years of service can accrue up to 15 PTO days per year (and up to 20 PTO days per year upon 10 or more years of service). Employees are eligible to participate in the Company’s 401(k) Plan. Employees (and their eligible dependents) are eligible for medical, dental, and vision insurance coverage. Employees are covered by company-paid disability, basic life insurance and parental leave.
