Senior Employee Services SpecialistYour MissionThe Senior Employee Services Specialist is a key member of the People & Culture team, responsible for the effective delivery and continuous improvement of employee services programs. This includes payroll, benefits administration, employee data management, and HR compliance processes across a growing workforce of approximately 300 employees.
The role supports a multi-site environment, including:
- 1 Corporate Office and manufacturing site in Ontario (Mississauga)
- 2 manufacturing sites in British Columbia (Richmond & Chilliwack)
- 1 Innovation Center in Quebec (Montreal)
This position ensures employees receive accurate, timely, and professional support throughout the employee lifecycle, while maintaining compliance with applicable employment legislation, company policies, and internal controls.
The Senior Employee Services Specialist acts as a primary point of contact for employees, leaders, payroll providers, and benefits vendors, driving operational excellence and enhancing the overall employee experience.
This is an exciting opportunity to contribute to a growing organization focused on continuous improvement and operational excellence.What you will doPayroll- Manage end-to-end payroll processing for multiple employee groups (hourly and salaried) across several provinces and three manufacturing sites working closely with 3rd party payroll providers
- Oversee administration and maintenance of the time and attendance system, ensuring accurate employee data and full compliance with company policies, collective agreements, and legislative requirements
- Lead a payroll transformation initiative to modernize, centralize systems and governance, driving standardization, reducing risk, and improving reporting capabilities
- Validate and remit payroll deductions accurately and on time to the appropriate authorities
- Oversee month-end and year-end payroll activities, including government remittances, pension contributions, and union dues
- Maintain and verify documentation confirming employees' legal eligibility to work in Canada
- Ensure compliance with data privacy legislation and report any breaches as required
- Maintain payroll systems, including new hire setup, terminations, and updates to employee information (e.g., address, banking details)
- Respond to payroll-related inquiries in a timely and professional manner
- Provide training and guidance to leaders on payroll processes, approvals, and timelines
Benefits & Leave Administration- Administer group benefits and retirement programs (coordinate enrollments, changes, claims, and escalations with carriers)
- Partner with carriers on renewals, claims, and plan updates
- Manage vacation accruals and ensure policy and legislative compliance
- Support onboarding and offboarding related to benefits and leave
- Provide support for employee leave administration
- Manage employee recognition platforms
- Identify and coordinate wellness programs with vendors and HR partners
Reporting & Compliance
- Maintain accurate employee records and ensure data integrity across HRIS, payroll, and related systems.
- Generate, analyze, and report on workforce metrics and dashboards, partnering with HR Business Partners to provide insights that support business decisions.
- Prepare and deliver monthly HR and payroll metrics, KPIs, and analytics to support operational and strategic decision-making.
- Partner with Finance, Operations, site leaders and other stakeholders on audits, reconciliations, compliance reviews, and payroll-related reporting requirements.
- Coordinate employee requests related to immigration, work permits, and global mobility matters,
- Ensure compliance with applicable federal and provincial legislation and regulatory requirements, including employment standards, payroll and tax regulations, workers' compensation, labour relations obligations, and immigration requirements.
- Support the implementation, optimization, and continuous improvement of HR, payroll, and employee administration processes and systems.
Other Key Duties & Projects- Serve as a primary point of contact for employee inquiries and issue resolution related to HR services
- Deliver clear, targeted communications on employee services, programs, and initiatives
- Provide insights and recommendations to improve payroll, benefits, and employee self-service tools
- Drive continuous improvement and system enhancements to improve efficiency and employee experience
- Lead key projects, including the centralization and standardization of payroll and time and attendance systems across all Canadian sites (2026), in partnership with key stakeholders
- Drive automation and process improvements across payroll, benefits administration and document control
What we expect from you- Post secondary education in Human Resources, Accounting, Business Administration, or a related field
- Payroll designation required; CHRP or CHRL is considered an asset.
- Minimum 5 years of hands-on payroll experience, including working with third-party providers.
- Proven ability to manage multiple payrolls independently (including unionized environments).
- Demonstrated experience implementing robust payroll processes that meet both internal and external audit requirements.
- Strong knowledge of Canadian payroll legislation, employment standards, statutory deductions, and year-end reporting requirements.
- Experience administering group benefits, pension/RRSP, and employee wellness programs.
- Experience with HRIS, payroll, benefits, and time and attendance systems; experience with system implementations or upgrades is an asset.
- Advanced proficiency in Microsoft Excel and HR reporting.
- Proficiency in HRIS and payroll systems. Experience with SuccessFactors and ADP is required. Power BI, Payworks, Ceridian/Dayforce is an asset
