Position Summary
The Senior Contracts Administrator position will provide all forms of contract-related support through all phases of the contract lifecycle. The role will partner with a variety of key business stakeholders throughout the company.
Essential Functions
- Manage the end-to-end administrative lifecycle of clinical research agreements, including CTAs, CRO agreements/SOWs, HCP/consulting agreements, MTAs, clinical supply agreements, investigator-initiated research agreements, and related amendments.
- Monitor, triage, and process group email inbox used for contract requests and questions, including assignment of requests for review; assign and track action items and file processed emails.
- Track contracts from intake, drafting, negotiation, approval and execution; maintain comprehensive contract trackers and dashboards showing agreement status, aging, cycle times, outstanding actions, upcoming expirations, amendments, site activation dependencies, and other key metrics.
- Prepare first drafts of clinical research agreements by selecting and populating approved company templates with study-, site-, vendor-, investigator-, and transaction-specific information; prepare amendments, SOWs, work orders, change orders, exhibits, schedules, and other contracting documents using approved templates and established forms.
- Maintain and administer the company's library of approved clinical contracting templates, forms, SOWs, checklists, clause libraries, and country-specific documents under Legal supervision. Ensure only current, Legal-approved templates are used and maintain appropriate version control over contracting documents.
- Route contracts through the company’s required approvals process and facilitate electronic execution and finalization. Manage the signature process for clinical research agreements, including routing documents through electronic signature systems, monitoring outstanding signatures, and ensuring fully executed copies are distributed and retained.
- Ensure agreements are appropriately executed, stored, indexed, and associated with the relevant study, site, investigator, CRO, or vendor in the contract management system; upload contracts and input relevant data into Company’s contract management repository.
- Produce regular clinical contracting reports and metrics for Legal and Clinical Operations leadership.
- Support audits, inspections, diligence exercises, and internal reviews by locating agreements and assembling complete contracting documentation, approval records, and audit trails.
- Assist Legal with development and implementation of clinical research policies, SOPs, contracting procedures, checklists, templates, forms, and training materials; develop and maintain standard operating instructions and process maps for clinical contracting workflows.
- Identify administrative bottlenecks and recurring process issues and recommend improvements to workflows, templates, intake processes, tracking systems, and contracting technology.
- Performs ad-hoc and cross-functional duties and/or projects as assigned to support business needs and provide developmental opportunities.
Education & Experience
- High School Diploma, with a minimum of 7+ (including but not limited to internships and/or coursework) years of relevant experience required; or
- Associate’s degree, with a minimum of 5+ (including but not limited to internships and/or coursework) years of relevant experience required.

Working Environment / Physical Environment
- This role will be an onsite role in El Segundo, CA
- Regular work schedule is Monday – Friday, within standard business hours. Flexibility is available with manager approval
- Must possess mobility to work in a standard office setting and to use standard office equipment, including a computer.
- Lift and carry materials weighing up to 20 pounds.
This position is eligible for a discretionary bonus and equity award. The hourly base pay range for this position is below. The specific rate will depend on the successful candidate’s qualifications, prior experience as well as geographic location.
$42.50 (entry-level qualifications) to $46.75 (highly experienced) per hour
