Overview

Reporting directly to the VP of Business Affairs Management, the Senior Business Manager leads and manages day-to-day operations for multiple clients. In this role, you will be a true partner in the production process, working closely with our integrated production, account management, project management, legal, finance and operation teams offering advice and counsel on Business Affairs matters.

Key Accountabilities

  • Responsible for all day-to-day business management on assigned clients, including creating production estimates and purchase orders, vetting, and negotiating vendor bids, new vendor set-up, processing vendor invoices and drafting production contracts, releases, affidavits, music rights agreements and other production/vendor documents in concert with agency legal counsel


  • Work across traditional and non-traditional productions (i.e. Broadcast, Radio, Print, Social, Influencer, Digital, Activations and Experiential)


  • Assess talent requirements, ballpark talent session and usage fees, and when applicable, SAG union session, usage fees and fringes


  • Ability to understand vague and conflicting union rules and descriptions and apply them to real situations.


  • Manage talent duties on assigned non-union clients including drafting talent releases, processing session and usage payments through a 3rd party payroll company, partnering with third party SAG signatories for non-union clients when featuring SAG talent and executing talent session and completion reports


  • Support on-boarding and setting up freelance crew within Extreme Reach Crew Services payroll company, as needed


  • Create production estimates in our financial system and manage costs through final reconciliation


  • Advise account team on talent and/or third-party rights agreements that will be coming up for expiration. On assigned clients, part of the role may require tracking rights and expirations for stock, talent, music, etc.


  • Build and maintain relationships with talent agents, effectively negotiating costs and terms including overscale agreements that serve the best interests of the agency and our clients


  • Effectively partner with client's cost consultants, as applicable


  • Apply knowledge of copyright and licensing of rights as pertaining to commercial usages and based upon the client's needs and requirements. Ensure appropriate rights are secured to protect the agency and client from any potential infringements


  • Responsible for creating and managing online project job folders which includes uploading contracts and other pertinent production paperwork for archival purposes


Person Specification

  • Associate's degree or higher a plus


  • 7+ years of Business Affairs experience, preferably at an advertising agency


  • Must demonstrate the ability to adapt to evolving technology, including AI


  • Will be required to become proficient in Financial and A/P systems. Experience working in Nexelus is a plus.


  • In depth knowledge of union, non-union and offshore talent, including labor laws and minor employment laws


  • Experience working with a 3rd party Payroll Service platform and CMC/Forecast Third party signatory is a plus


  • In depth knowledge of AICP, AICE, SAG-AFTRA, AFM, ACTRA, UDA and FTC requirements


  • Understanding of insurance requirements and any special insurance needs, including non-appearance, high risk productions, foreign productions, weather insurance, drone insurance, Errors and Omissions and Cyber Liability


  • Strong drafting skills and basic understanding of legal terms and interpretation of contracts


  • Experience in assessing and crafting various deal memos, Influencer agreements, Celebrity contracts, vendor SOWs and legalese for contracts/purchase orders


  • Strong negotiation and problem- solving skills


  • Excellent organizational, verbal, and written communication skills with a strong attention to detail


  • A positive, self-motivated, collaborative team member with a dedicated work ethic


  • Must maintain positive attitude while managing urgent deadlines, organizing and multi-tasking a variety of details in ever changing situations


This is a hybrid role, requiring 3 days per week in the office. Candidates must reside in New York City.

The annual salary range for this position is $114,425 - $125,000 annually. We base placement within the salary range on a variety of factors, including relevant experience, and other factors permitted by law.
