This highly visible role is perfect for a proactive, detail-oriented professional who thrives in dynamic environments and enjoys balancing structure with constant change. You'll ensure executive priorities move forward seamlessly while helping power a rapidly growing, forward-thinking team.
• Calendar Management: Own complex, high-volume calendars for the CIO and Innovation leaders, prioritizing client meetings, vendor demos, and key initiatives.
• Scheduling Excellence: Coordinate internal and external meetings end-to-end, including confirmations, logistics, materials preparation, and follow-ups-adjusting quickly as priorities shift.
• Executive Support: Anticipate leadership needs, managing travel, expenses, and daily administrative flow with minimal direction.
• Stakeholder Communication: Serve as a polished liaison with clients, technology partners, vendors, and internal teams, ensuring timely and professional communication.
• Relationship Coordination: Track key contacts, maintain follow-up cadences, and support ongoing engagement with external partners and stakeholders.
• Operational Support: Collaborate with the Innovation team to enable firmwide initiatives and maintain smooth day-to-day operations in a fast-paced, evolving environment.
• Adaptability & Prioritization: Maintain efficiency and effectiveness in a startup-style setting where priorities change frequently and innovation is constant.

What You'll Bring
• Education: Bachelor's degree in Business Administration or a related field preferred (or equivalent experience).
• Experience: 5+ years of administrative or executive support experience, ideally in a fast-paced, professional environment.
• Technical Skills: Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and confidence learning new tools and technologies.
• Organization & Communication: Exceptional multitasking, time management, and interpersonal skills with the ability to manage competing priorities and tight deadlines.
• Judgment & Discretion: Proven ability to handle confidential information with professionalism and sound judgment.
• Proactive Mindset: Self-starter who anticipates needs, solves problems independently, and adapts to changing demands.
• Flexibility: Willingness to respond to time-sensitive requests, occasionally outside standard working hours.
• Growth Orientation: A genuine desire to learn, develop, and expand your skill set over time.
