Summary

The Department of Medicine at Baylor College of Medicine is seeking an experienced and detail-oriented Research Program Management Associate. The Research Program Management Associate will be responsible for the comprehensive administrative and financial management of a complex center grant - the NIH-funded Houston Nutrition and Obesity Research Center (HNORC). This role involves managing the full grant lifecycle for multiple core services and pilot projects, ensuring compliance with all institutional and NIH policies. This role will provide end-to-end research administration to an NIH P30 center grant in the department.

This role does not conduct research or direct scientific methodology; it provides operational support that enables center leadership and research teams to carry out their work effectively. This includes organization and alignment of personnel, timelines, budgets, resources, and deliverables across one or more research initiatives to ensure work progresses as planned. The ideal candidate will provide expert guidance and proactive solutions to complex grant and administrative issues.

Job Duties

Financial Oversight and Core Service Management: (40% of role)
  • Provides financial management for the center, including creating financial reports, monitoring expenditures across multiple cores and sub-projects, and recommending budget adjustments.
  • Manages the administrative operations for the Center's core services, including budget allocation, tracking usage, and billing.

Operational Management and Reporting: (40% of role)
  • Supports development and maintenance of the program's day-to-day operations.
  • Coordinates implementation of core research services and initiatives to ensure personnel, resources, timelines, and deliverables stay aligned.
  • Tracks core and project milestones, grant objectives, and key priorities; provides regular progress updates to leadership.
  • Prepares reports, presentations, and summaries for leadership, sponsors, and stakeholders.
  • Contributes to outreach or professional engagement activities related to the center's initiatives.
  • Serves as point of contact between the Office of Research (OOR), sponsors, PIs, collaborating institutions.
  • Ensures proposals comply with federal regulations, sponsor guidelines, and institutional policies. Coordinates the review and approval of required compliance components such as human subjects, animal subjects, and financial conflicts of interest.
  • Coordinates core operations, pilot grant programs, annual symposium, and enrichment programs.

General: (20% of role)
  • Partners with the HNORC leadership, affiliated investigators, and stakeholders to support obesity and nutrition research efforts.
  • Facilitates collaboration among investigators, scientists, administrators, and external partners.
  • Supports process improvements to strengthen center workflow and communication.
  • Works closely with the Center Director and Core Leaders to develop, prepare, and submit annual progress reports and other required documentation to the NIH and coordinates administrative components of submissions.
  • Maintains program documentation, policies, and procedures.
  • Performs other job duties as assigned.


Minimum Qualifications

  • Bachelor's degree.
  • Two years of relevant experience.

Preferred Qualifications and Skills

  • Experience managing complex NIH grants (P30, P01, U-awards).
  • Strong project management skills.
  • Good communication/interpersonal skills, accountable, organized, self-motivated, team player, works well under pressure, multitasking.
  • Experience with Redcap is a plus.
