Job DescriptionPrimary DutiesStrategic Leadership & Office Management- Provide leadership and operational oversight of the Registrar's Office, ensuring effective coordination of daily services, immediate issue resolution, and direct, in person support for students, faculty, and staff.
- Supervise the Associate Registrar and Assistant Registrar, ensuring accountability, effective communication, and alignment across all functional areas.
- Oversee personnel management, including hiring, professional development, and staffing decisions.
- Develop and manage the Registrar's Office budget, ensuring responsible use of institutional resources.
- Provide decision-making authority for Registrar's Office policies, procedures, and operational standards to ensure equity for students.
- Oversee integrity, maintenance and issuance of university records.
- Maintains a visible campus presence to foster collaboration with academic affairs and other university stakeholders.
- Provide immediate leadership and support for complex student records, registration, residency, graduation and compliance issues by working directly with students, faculty, staff and university leadership. Facilitate real-time collaboration to expedite issues resolution and ensure continuity of critical Registrar operations.
Compliance, Reporting, & Institutional Accountability- Ensure institutional compliance with federal, state, and institutional regulations related to academic records, FERPA, enrollment reporting, transfer policies, and graduation policies.
- Serve as the Principal Designated School Official (PDSO) for SEVP compliance and act as the primary legal liaison for international student records.
- Oversee external reporting and audit requirements related to the Registrar's Office, ensuring accuracy, timeliness, and regulatory adherence.
- Represent the Registrar's Office in state and system meetings, committees, and initiatives related to transfer, academic records, and compliance.
- -Provide oversight and approval for Registrar's Office system updates and changes impacting academic records and compliance reporting.
- -Develop and oversee assessment planning for the Registrar's Office team and ensure processes are being followed to ensure accuracy and equity for students.
- -Provide in person leadership and support for complex compliance issues by working directly with students, faculty, staff and university leadership. Facilitate real-time collaboration to expedite issues resolution and ensure continuity of critical Registrar operations.
Systems, Contracts & Governance Oversight- Provide executive oversight for Registrar's Office systems and software environments, ensuring alignment with institutional needs and regulatory requirements.
- Review and approve software contracts, renewals, and major technology decisions within the scope of Registrar's Office operations.
- Provide final review and approval for major projects, system changes, and process modifications affecting Registrar's Office functions, in collaboration with appropriate campus governance bodies.
- Partner with the Associate Registrar to support effective project governance, system oversight, and operational stability across the office.
- Assist with ticketing resolution for students and and staff and help prioritize projects for IT for the CSU system.
Ancillary Duties- Serve on committees, work-groups, or project teams as assigned.
- Perform other duties to support the mission and operations of the Registrar's Office, the Division of Enrollment Management, Marketing, and Extended Studies, and the University in general.
Minimum Qualifications- Bachelor's degree from a regionally accredited institution (or international equivalent)
- Strong verbal and written communication skills
- Excellent attention to detail and organizational skills
- Demonstrated understanding of higher education policies and functions, and state and federal laws pertaining to higher education.
- Excellent leadership skills
- Knowledge of accreditation and/or compliance standards in a Registrar's office
- Knowledge of student information systems and records management practices.
- Minimum five (5) years of progressively responsible professional experience in a Registrar's Office or closely related higher education administrative function.
- Minimum two (2) years of experience directly supervising full-time professional staff.
Preferred Qualifications- Master's degree preferred in Higher Education Administration, Educational Leadership, Business Administration, Information Systems, or a related field.
- Knowledge of student records management, degree auditing, graduation certification, and registration processes.
- Working knowledge of Banner, uAchieve, Formstack, and/or CourseLeaf products
- Experience experience serving as a PDSO
- Experience leading registrar operations, student records management, registration services, degree auditing, graduation certification, or academic scheduling.
- Experience with regulatory compliance.
- Experience developing and implementing policies, procedures, and process improvements.
- Experience fostering collaborative relationships with faculty, academic leadership, and administrative departments.

Salary $81,000 to $96,000
