Summary
As a Regional Workplace Manager, you will oversee serviced offices and core facilities operations for our San Mateo hub and select regional sites, ensuring safe, efficient, and engaging workplaces that enable Guidewire’s people to do their best work. You will manage budgets, building operations, vendor performance, and workplace services while driving continuous improvement, ESG initiatives, and automation. This onsite, highly visible role partners closely with Finance, BizTech, PDO, Security, and People teams.
You will translate Guidewire’s ambition to be the most efficient, trusted vertical SaaS company into how our workplaces run every day, using data, AI, and automation to improve quality, speed, and cost. You will help create spaces and services that reflect our values of inclusive culture, collaboration, and continuous improvement, and that support our global teams building AI-powered, cloud-based solutions for P&C insurers. Job Description
What You Will Do
Regional Facilities & Serviced Office Management
Manage day-to-day operations for regional offices (with a focus on San Mateo), including serviced offices, leased spaces, and any flexible workspace solutions.
Serve as the primary point of contact for landlords, serviced office providers, property managers, and key vendors, ensuring performance against SLAs and contractual obligations.
Oversee building systems and maintenance (HVAC, electrical, plumbing, life safety, access control) in partnership with vendors and Security, ensuring uptime, safety, and compliance with local codes and Guidewire standards.
Coordinate cleaning, security, reception, mail, and other workplace services to deliver a reliable, high-quality in-office experience that supports collaboration, productivity, and employee engagement.
Budgeting, Cost Optimization & Data-Driven Operations
Own the regional facilities operating and capital budgets, including rent, operating expenses, utilities, maintenance, workplace services, and small projects.
Forecast, track, and report actuals vs. budget; partner with Finance to support financial transparency, cost optimization, and value realization in line with the Finance FY VPMOM.
Identify and execute cost savings measures (for example, portfolio optimization, vendor consolidations, energy efficiency, smarter service levels) while maintaining or improving service and safety.
Use data from building systems, occupancy analytics, and service tickets to inform decisions, support credible metrics, and enable better forecasting and prioritization.
Space Planning, Moves & Small Construction ProjectsLead space planning and workplace programming for the region, including test fits, seating plans, and furniture standards that support hybrid collaboration, focus work, and future growth.
Manage small to medium workplace projects (such as reconfigurations, refreshes, minor construction, and environmental branding), coordinating architects and engineers, contractors, landlords, and internal stakeholders.
ESG, Sustainability & Health/SafetyPartner with Corporate Sustainability and Security to implement ESG and sustainability initiatives in the workplace, including energy and water efficiency, waste reduction, green cleaning programs, responsible materials, and healthy building practices.
Track and report relevant environmental and social metrics from the workplace (such as resource usage, diversion rates, and certifications) to support corporate sustainability goals and reporting.
Own or support health and safety programs for the region (for example, emergency preparedness, ergonomics, incident response), ensuring compliance with applicable regulations and internal standards.
Champion inclusive, accessible spaces and services that support a diverse global workforce and foster a strong sense of belonging and psychological safety.
AI-Driven Automation & Process ImprovementPartner with BizTech, PDO, and the Workplace team to identify and pilot AI- and automation-enabled improvements across facilities and workplace operations, such as smart ticket routing, predictive maintenance, occupancy analytics, and self-service tools.
Standardize and document regional workplace processes, integrating automation where feasible to reduce manual effort, increase speed, and improve the employee experience.
Team Leadership & Stakeholder PartnershipLead, coach, and develop local workplace and support staff (and/or manage external on-site teams), fostering accountability, inclusion, and customer service excellence.
Establish strong partnerships with local and global stakeholders (including Site Leadership, Security, BizTech, Finance, Global People, PDO/Product, Professional Services, and GTM) to understand evolving needs and plan space, services, and investments accordingly.
Represent Workplace Operations in regional planning forums, incident response, and cross-functional initiatives, ensuring the physical environment supports strategic objectives such as AI adoption, cloud transformation, and employee engagement.
Communicate clearly and regularly about changes to office operations, projects, and policies, helping employees navigate and get value from our physical spaces.
What We’re Looking ForRequiredSignificant experience in facilities management, corporate real estate, or workplace operations, with responsibility for multi-tenant or serviced offices and leased sites.
Proven track record managing operating and capital budgets, analyzing spend, and delivering cost savings without compromising quality, safety, or the employee experience.
Experience overseeing building maintenance and operations, vendor and landlord management, and small construction or tenant improvement projects in an office environment.
Strong stakeholder management skills and the ability to collaborate effectively across Finance, IT/BizTech, Security, HR/People, and business units in a global technology company.
Comfort with data and systems (for example, ticketing tools, building management systems, CAFM/IWMS, dashboards); demonstrated ability to use data and analytics to make operational decisions and communicate tradeoffs.
Excellent organization, communication, and problem-solving skills; able to prioritize and execute in a dynamic, high-growth, cloud and AI-focused environment.

PreferredExperience in a global technology, SaaS, or insurtech environment, ideally supporting engineering, product development, or professional services organizations.
Familiarity with ESG frameworks, sustainability certifications, or corporate sustainability reporting as they relate to real estate and workplace operations.
Exposure to or curiosity about AI, automation, and analytics for operations, with concrete examples of technology-enabled process improvements in facilities or workplace services.
Experience supporting office transformations, consolidations, or expansions in alignment with broader corporate strategies and VPMOM-style planning.

The US base salary range for this full-time position is $91,000 - $137,000. Your base pay will depend on your experience, skills, education, training, and location among other factors. All full-time positions or part-time roles working 30 hours or more a week at Guidewire are eligible for benefits that support their health and well-being including health, dental, and vision insurance, paid time off, and a company sponsored retirement plan. In addition, some roles may be eligible for the annual company bonus plan, commissions, and/or long term incentive awards which are contingent on a variety of factors including, but not limited to, company and employee performance.
