Position OverviewThe Proposals & Marketing Manager is the operational backbone of CP Engineers' sales and marketing function. This role keeps proposals moving, systems running, and the brand sharp - so the Director of Sales & Marketing and business development leads can stay focused on clients and growth.
This person operates across two lanes simultaneously: supporting active pursuits with proposal coordination and content and maintaining the administrative and marketing infrastructure that makes a growing firm look and run like a mature one.
This is not a passive support role. The right candidate is organized without being rigid, detail-oriented without losing the bigger picture, and comfortable working fast in a firm that is building its systems in real time.Compensation range: $90,000-$130,000 (commensurate with experience)
Key Responsibilities1. Proposal & Pursuit CoordinationThe most critical and time-sensitive function of this role. The coordinator manages the mechanics of every proposal so nothing falls through.
- Proposal Production
- Manages proposal calendar: RFP deadlines, internal review milestones, submission logistics
- Assembles complete proposal packages: covers, tabs, resumes, project sheets, fee tables, letters
- Maintains a library of current, accurate boilerplate (firm overview, project descriptions, staff bios)
- Formats documents to match client requirements and CP brand standards
- Pursuit Tracking
- Logs all active pursuits in CRM with stage, deadline, fee estimate, and Go/No-Go status
- Issues weekly pipeline reports to Director of Sales & Marketing
- Tracks win/loss outcomes and maintains pursuit history for lessons-learned review
- Qualification Packages
- Maintains current SF330s, SOQs, and prequalification packages by market
- Updates packages proactively when project experience, staff, or certifications change
2. Marketing Systems & AdministrationA fast-growing firm needs its marketing infrastructure to work. This role owns the day-to-day upkeep of the tools and data that support sales.
- CRM Management
- Enters and maintains contact records, project records, and interaction history
- Flags stale data and drives data hygiene across the sales team
- Builds and distributes reports: pipeline by sector, BD activity, proposal close rates
- Template & Content Library
- Manages master versions of all proposal templates, cover letter formats, and presentation decks
- Ensures all staff resumes and project sheets are current and consistently formatted
- Coordinates with project managers to capture new project milestones and photography
- Deadline & Calendar Management
- Owns the marketing calendar: proposal due dates, award submission windows, event registrations
- Issues reminders and escalates conflicts to Director of Sales & Marketing
3. Brand & Content ExecutionSupports the firm's external presence with consistent, professional content that reflects CP's technical credibility and market positioning.
- Digital Presence
- Updates website content: project pages, staff bios, service descriptions
- Drafts and schedules LinkedIn posts highlighting project wins, awards, and thought leadership
- Coordinates with leadership on messaging for new market entries or service launches
- Awards & Recognition
- Tracks award submission deadlines and manages the full submission process
- Writes or assembles submission narratives using input from project teams
- Case Studies & Photography
- Develops one-page project case studies for use in proposals and presentations
- Coordinates project site photography or rendering requests
4. Events & Industry OutreachManages the logistics of trade shows, conferences, and client-facing events so leadership can focus on relationship-building.
- Trade Show & Conference Coordination
- Handles registrations, booth reservations, sponsorships, and shipping for industry events
- Prepares attendee briefing materials and leave-behinds
- Tracks event ROI by logging contacts made, leads generated, and pursuits opened
- Client Outreach Support
- Coordinates client gifts, holiday mailings, and appreciation touchpoints
- Manages industry association memberships and renewal tracking
Requirements- 3-5 years of marketing or proposal coordination experience in AEC (architecture, engineering, or construction) or professional services
- Demonstrated experience managing RFP/RFQ responses end-to-end, including formatting and assembly
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Adobe InDesign or equivalent layout tool
- CRM experience - data entry discipline and report generation (Deltek Vantagepoint, Ajera, Salesforce, or similar)
- Exceptional organizational skills and the ability to manage multiple competing deadlines without handholding
- Strong written communication: clear, concise, professional prose with an eye for detail
Preferred- Familiarity with life sciences, manufacturing, or industrial facility project types
- Experience with SF330 federal qualification packages
- Background in or exposure to technical/engineering environments
- Comfort working directly with engineers and project managers to extract and translate technical content
- Prior experience supporting a BD or sales function, not just a pure marketing function
